General Statement of Job
COMMONWEALTH ATTORNEY’S OFFICE:
Under general supervision, performs administrative duties of a legal nature in the Commonwealth’s Attorney’s Office. Work involves independently preparing routine legal documents and composing and typing a variety of legal and routine documents. Work also involves receiving, screening, and responding to a variety of inquiries by telephone and in person and providing information or assistance or referring inquiries to the appropriate personnel. Work also involves coordinating court dates, continuances, etc., and notifying involved parties. Employee is responsible for maintaining a variety of confidential and routine files and records. Employee is also responsible for ordering and assembling criminal histories, driving records, conviction records, probation records, etc. Employee must exercise independent judgment, discretion, and initiative in completing assignments. Employee must also exercise considerable tact and courtesy in frequent contact with the public, victims, and witnesses. Reports to the Administrative Manager.
This position is essential. Personnel occupying this position may be scheduled to work irrespective of weather conditions and/or when general County offices are closed.
COUNTY ATTORNEY’S OFFICE:
Under limited supervision, performs secretarial, paralegal, and administrative duties in the County Attorney’s Office. Work involves preparing routine legal documents, including contracts, agreements, deeds, policy books, ordinances, etc. Work also involves taking and transcribing confidential and legal correspondence and documents; screening and independently handling a variety of inquiries by telephone and in person; and maintaining a variety of records and files. Employee is responsible for performing a variety of paralegal duties.
Special Duties & Responsibilities
COMMONWEALTH ATTORNEY’S OFFICE:
Answers telephone and greets visitors; receives inquiries for the Commonwealth’s Attorney and his/her assistants, provides information and assistance or takes messages.
Composes and types material from typed, handwritten or machine dictation, which requires use a of a variety of complicated formats for preparing plea agreements, briefs, show cause motions, subpoenas, and other legal and court documents, prepares correspondence, memos and other routine documents; assumes responsibility for correctness of spelling, punctuation, format and grammar.
Maintains calendar of upcoming cases, judges, etc.; coordinates appointments for the Commonwealth’s Attorney.
Prepares show cause motions/orders for Court; prepares extradition petitions.
Orders criminal histories, driving records, and prior criminal/driving convictions; obtains police reports and coordinates court cases.
Receives and distributes incoming mail; analyzes incoming mail and determines appropriate actions.
Arranges and coordinates continuances; prepares and types continuance orders, letters, etc.
Notifies correctional facilities of court dates and times for inmates; prepares transportation orders
Sets up and maintains a variety of confidential and general files.
Delivers and retrieves documents from courts and County offices.
Receives and files state laboratory certificates of analysis with appropriate courts; receives and files medical examiner’s reports.
Orders office supplies, as necessary.
Copies documents and sends facsimiles, as necessary.
Assists probation and parole officers with needed information from case files, etc.
Assumes duties and responsibilities of subordinates in their absence or as needed.
Performs other related duties as required.
COUNTY ATTORNEY’S OFFICE:
Maintains internal bookkeeping for the office; monitors budget expenditures; prepares the County Attorney’s budget.
Screens and greets visitors, receives inquiries and complaints provides information and assistance or refers inquiries to appropriate personnel; answers and screens telephone calls and directs to the appropriate attorney or takes messages.
Performs a variety of office administration duties, including ordering office supplies, coordinating the work of temporary clerical employees, prepares expense vouchers and purchase orders, prepares time sheets, schedules meetings and conferences; coordinates the activities of the County Attorney’s office with other County Departments; relays and exchanges a variety of information.
Composes and types material, from typed or handwritten copy or machine dictation, which require use of a variety of complicated formats for preparing correspondence, contracts, agreements, deeds, policy books, ordinances, lawsuits, forms, and other legal documents or routine documents, reports, files and manuscripts; assumes responsibility for correctness of spelling, punctuation, format and grammar; composes routine correspondence.
Maintains appointment calendars; advises attorneys of upcoming court dates, meetings, and other obligations.
Performs a variety of paralegal duties, including drafting routine legal documents: pleadings, motions, orders; conducts factual research; records documents and files lawsuits with the Circuit Court; maintains and updates a variety of data, records, and files including the tickler system, form book, law library, etc.; prepares adopted ordinances for distribution to appropriate county departments and to the Municipal Code Corporation; prepares documents necessary to cash letters of credit; assists in the preparation of submissions to agencies and departments.
Sets up and maintains a variety of files
Coordinates hotel and travel arrangements; registers attorneys for conferences.
Performs related work as required.
Minimum Training & Experience
COMMONWEALTH ATTORNEY’S OFFICE:
Vocational/Technical School completion, with major course work in legal secretarial science, and three (3) to five (5) years of experience in legal secretarial/administrative work, experience in public law enforcement office preferred; or any equivalent combination of training and experience which provides the required knowledge, skills and abilities. Must possess or be able to obtain VCIN operator certification.
COUNTY ATTORNEY’S OFFICE:
Associate’s degree, with major course work in legal assistant/paralegal science, and three (3) to five (5) years’ experience in legal assistant or paralegal including three (3) years’ office management experience; or any equivalent combination of training and experience which provides the required knowledge, skills and abilities.

COMMONWEALTH ATTORNEY’S OFFICE PHYSICAL REQUIREMENTS
Must be physically able to operate a variety of automated office machines including computers, copiers, facsimile machines, etc. Must be able to exert up to 15 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Sedentary work involves sitting most of the time but may involve walking or standing for periods of time. Requires the ability to inspect items for proper length, width, and shape. Requires the ability to coordinate hands and eyes rapidly and accurately in using automated office equipment. Requires the ability to handle a variety of items, office equipment, control knobs, switches, etc. Must have minimal levels of eye/hand/foot coordination. Requires the ability to differentiate between colors and shades of color. Requires the ability to talk and/or hear: (talking – expressing or exchanging ideas using spoken words; hearing – perceiving the nature of sounds by ear).
