A winning, fast-paced Gainesville Personal Injury Law Firm hiring Receptionist/Administrative Assistant. High school diploma or equivalent required. Competitive salary and benefits including health insurance, life insurance, and 401K.

The Administrative Assistant/Receptionist must be creative and enjoy working within a legal environment. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to multi-task. Process incoming and outgoing mail. Provides general clerical assistance to legal secretaries and attorneys. Performs data entry. Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.

The position is full-time, Monday through Friday, from 8:30 a.m. to 5:00 p.m.

SKILLS AND QUALIFICATIONS:

High School diploma or equivalent required.
Self-motivated.
Computer experience required.
2+ years of related experience preferred in working in an administrative assistant role.
Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
Ability to communicate effectively and professionally.
Excellent communication and time management skills; proven ability to meet deadlines.
Ability to function well in a high-paced environment; performs additional duties as assigned.
Use discretion, confidentiality, and good judgment.

KEY RESPONSIBILITIES:

Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
Sustain a daily calendar of meetings and events.
Process incoming and outgoing mail.
Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.
Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
Draft and prepare correspondence for internal announcements, board meetings, and organizations for executives.
Process data and be responsive to emails/texts/phone calls.
Welcome the guests by greeting them, in person or on the phone; answering or directing inquiries in an attentive, friendly, courteous and service oriented manner.
Maintain high standards of personal appearance and grooming.
Organize complex calendars and schedules; resolving any scheduling issues.
Must be effective in handling problems, including anticipating, preventing, identifying and solving problems as necessary.
Informs visitors by answering or referring inquiries.
Contributes to team effort by accomplishing related results as needed.
Be able to perform and complete all tasks and duties on the checklist in a timely and efficient manner.

Job Type: Full-time

Pay: $15.00 – $17.00 per hour
