Immigration Assistant-Part Time-In Office Jobs in San Diego, CA at Keamy Tavares & Associates, APLC

We are experts in business immigration law, and as USCIS continues its shift toward fully digital, online filing, we’re looking for a tech-savvy administrative professional to help power our case operations. This role is ideal for someone who is highly organized, computer-proficient, and energized by systems, data accuracy, and process.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Track and input client information accurately into our case management system.
  • Organize, maintain, and manage electronic and physical case files, ensuring documentation is complete, current, and properly filed.
  • Monitor client document uploads and follow up promptly on missing or incomplete submissions.
  • Track and log USCIS receipt notices, approval notices, and other case correspondence; update case statuses accordingly.
  • Support attorneys and paralegals by keeping case files audit-ready and easily accessible.
  • Assist with online filings and digital submissions as USCIS transitions more filing types to electronic systems.
  • Flag case processing delays, missing documents, or inconsistencies for attorney/paralegal review.
  • Maintain organized digital recordkeeping practices across case management and file-sharing systems.

TECHNOLOGY & SYSTEMS
This role requires more than basic computer literacy.

  • Advanced computer skills with strong comfort learning and troubleshooting new software independently.
  • Experience with immigration case management platforms (e.g., Docketwise) strongly preferred.
  • Familiarity with USCIS online filing systems (USCIS ELIS) and electronic document portals.
  • Strong working knowledge of Microsoft Office Suite (Outlook, Word, Excel) and cloud-based file storage/sharing systems.
  • Comfortable using AI-assisted tools to streamline data entry, tracking, and organization.

POSITION REQUIREMENTS

  • High school diploma required; Associate’s or Bachelor’s degree preferred.
  • Prior administrative, legal, or immigration office experience a plus.
  • Exceptional organizational skills and close attention to detail.
  • Ability to manage a high volume of client files and deadlines simultaneously.
  • Strong written and verbal communication skills for client and team coordination.
  • Ability to work independently while following firm protocols and procedures.
  • 3 days in-office for a five-hour shift each day.

Pay: $25.41 – $27.00 per hour
