Purpose:
The purpose of this role is to provide accurate, efficient, and compliant administrative support for immigration matters, ensuring that visa, permit, and residency applications are properly prepared, submitted, and managed in accordance with Namibian immigration laws.
Experience and Qualifications:
- More than 5 years’ proven experience in immigration administration, visa /permit processing, or a related field.
Key Accountabilities:
Immigration Administrative Support
- Provide administrative support in immigration matters, including the preparation and submission of visa, employment permit, and permanent and temporary residence applications in line with Namibian immigration legislation.
- Compile, review, and verify all supporting documentation to ensure accuracy, completeness, and legal compliance prior to submission to the relevant authorities.
- Maintain accurate, up-to-date, and confidential immigration records and files; monitor application progress and conduct timely follow-ups with the Ministry of Home Affairs, Immigration, Safety, and Security.
- Assist clients by explaining applicable legal requirements, application procedures, and ongoing compliance obligations under Namibian immigration laws and regulations.
Visa and Permit Requirements Administration
- Assess client eligibility for various visa categories, work permits, and residence permits in accordance with Namibian immigration policies and legislative requirements.
- Advise clients on specific documentation requirements, including but not limited to passports, medical reports, police clearance certificates, employment contracts, and proof of financial means.
- Ensure that all applications meet prescribed submission criteria, deadlines, and regulatory standards to minimize delays or rejections.
- Liaise with employers, government agencies, and other stakeholders to obtain necessary approvals and supporting documentation for visa and permit applications.
- Monitor changes in immigration laws and regulations and ensure that all processes and advice provided remain current and compliant.
- Assist in the preparation of motivation letters, supporting submissions, and appeals where required.
- Track expiry dates of visas and permits and notify clients of renewal requirements to ensure continuous legal compliance
Competencies
- Must be computer literate with proficiency in Microsoft Word and Microsoft Excel.
- Strong attention to detail and ability to handle confidential information with discretion.
- Excellent organizational and time-management skills.
- Good communication and interpersonal skills for client interaction.
- Ability to work independently and meet strict deadlines.
