Role Description
The Human Resources Assistant is a full-time, on-site role based in Kuwait City, responsible for supporting the day-to-day Human Resources operations across the organization. The role ensures efficient HR administration by handling government-related processes, onboarding and offboarding activities in accordance with company policies, maintaining accurate employee and asset records, and updating workforce information and documentation within the Human Resources Information System (HRIS). The HR Assistant works closely with employees, management, and government authorities to ensure compliance with company policies and applicable labor regulations while delivering timely administrative support.
Key Roles & Responsibilities
- Handle all government-related employee transactions, including processing work permits, residency (Iqama), visa applications, Civil ID procedures, medical examinations, and other statutory requirements.
- Coordinate employee onboarding and offboarding processes in accordance with company policies and procedures.
- Prepare, collect, verify, and maintain all employee documentation required throughout the employment lifecycle.
- Update and maintain accurate employee records, personal information, contracts, and supporting documents in the HRIS.
- Maintain and monitor company asset records, including the issuance, transfer, return, and reconciliation of assets assigned to employees.
- Ensure all employee files are complete, accurate, confidential, and compliant with company and legal requirements.
- Coordinate with government authorities, ministries, and external agencies regarding employment-related documentation and approvals.
- Support recruitment administration by preparing employment offers, employment contracts, and onboarding documentation.
- Assist employees with HR-related inquiries regarding policies, procedures, government documentation, and employment records.
- Monitor probation periods, contract renewals, visa expirations, Civil ID renewals, and other compliance-related deadlines.
- Prepare HR letters, certificates, salary certificates, no-objection certificates, and other employment-related documents as required.
- Support payroll administration by ensuring timely submission of employee data changes, attendance updates, leave records, and other payroll inputs.
- Maintain leave records, attendance data, and employee movement records within the HRIS.
- Ensure all HR documentation is properly archived in both electronic and physical formats.
- Generate HR reports and maintain accurate HR metrics as requested by management.
- Support employee disciplinary processes by preparing documentation in accordance with company policies.
- Coordinate employee exit procedures, including clearance, asset recovery, final documentation, and system updates.
- Ensure compliance with Kuwait Labour Law, company policies, and internal procedures.
- Maintain strict confidentiality of employee information and company records.
- Participate in continuous improvement initiatives to enhance HR processes and administrative efficiency.
- Provide administrative support to the HR department and assist with HR projects as required.
- Perform any other duties or responsibilities assigned by the Human Resources Manager or Management.
