JOB PURPOSE
Playing a role of HR Generalist in assist & help HRBP & Functions managers in the daily analysis, transactions for facilitating their projects and actions implementation in order to ensure tracking the key services and improving the level of customer “Employees” satisfaction.
KEY ACCOUNTABILITIES:
Employee Relation:
- Handle all types of leaves and make sure the employee enjoys his/ her leave on time with completing all documents needed. Guiding and supporting employees in applying for leaves within the right time to ensure that no delays in flight tickets, ERE visa, and leave salary. In addition, to ensure that all employees are utilizing their annual leave days in the entitled time and to decrease the carry-over of leave balance.
- Prepare introduction/ employee letters and get it signed by the concerned manager, such as (Salary Certificates, Rent home certificate, Embassy letters, bank loan, EOS Letters … etc.) in alignment with the company policy.
- Handle employees’ inquiries and complaints regarding employee Relations activities, such as grievances and disciplinary actions’ appeal, and provide the needed support to colleagues as needed.
HR Operation:
- Conduct the required investigations/ hearings for the issues concerned to employees’ grade 1-5 and to take the right action in accordance to Labor law and company policy.
- Guide and support the business to follow the right process and procedure for the low-performance employee.
- Prepare the clearance form for leaving employees and to handle the Resignation process and termination process and ensure that action has been taken according to the labor law and company policy.
- Ensure applying the leaving action on the system with attaching all supporting documents and prepare the clearance form to obtain the signature from all stakeholders.
- Manage new joiner files and ensure that medical insurance been issued and enrolment in GOSI been completed during the required time.
- Assist in audit the implementation of HR policies & procedures.
- Issue a warning letter based on the complaint received by the department manager and to ensure the action is according to the Labor Law and internal rules/regulations and track of all warning letter to guarantee that right action has been taken.
- Ensure personnel files are up to date and kept confidentially in archiving system Both Hard and Soft copies.
- Participate in SAP Success Factors System improvement and HR services automation projects.
- Responsible to manage employees normal transfer process within a sector or within the group.
Payroll:
- Maintain payroll information by collecting, calculating, and entering data.
- Maintain payroll operations by following policies and procedures; reporting needed changes.
- Ensure accurate and correct processing and entering of employees’ transactions into the System.
- Handle payroll processing and run for grade 1-5.
Recruitment:
- Identify and develop the right sourcing and network of high calibers and talented candidates inside/outside Saudi Arabia.
- Designs and launches effective recruiting campaigns for different job groups; suggests appropriate recruiting channels for different job groups.
- Manage and develop relations with educational institute, event organizers, and advertising media agencies.
- Communicates with applicants regarding processing their employment applications.
- Arranges for interview meetings with applicants according to Selection Policy; coordinates between interview panel members and applicants for time and location of interviews.
- Ensures compliance with governmental Saudization requirements.
- Receives & enroll all internship, coop, and summer training requests with considering high-quality selection
- Responsible for preparing and arrange an induction plan for new hires
- Follows up with Department Managers on monthly basis on the performance of newly hired employees during the probation period
- Handle HRDF registrations and claims processes.
Training:
- Coordinating the Training programs for various departments & levels of the company in accordance with the required approvals & allocated budget for the Training.
Reporting:
- Responsible for arranging, preparing & tracking HR weekly and monthly minutes of the meeting and deadline follow-up.
- Prepares monthly data reports/productivity on the status of sector human resources showing departmental, functional and demographic details for the sector as well as resignation, termination, leave and others related to the HR function related transaction using SF & HR SAP.
- Assist in evaluates HR programs, policies and procedures and provides feedback for improving HR system automation.
QUALIFICATIONS, EXPERIENCE, & SKILLS
- Bachelor's degree in HR management or related major.
- Experience: 1-3 years of FMCG or distribution.
- Communication skills, Fluent in English & Arabic.
- Professional and can deal with all company levels with confidence.
- Pleasant personality with customer service attitude.
- Team player, hard worker, punctual, and dedicated.
- IT Skills – Microsoft, SAP
- Good understanding of Labor Law/ GOSI regulations – Visa regulations and ability to coach employees.
