About the Opportunity:
Our national law firm seeking a Client Intake Coordinator to join its growing team. This hybrid role (2 days per week in office) is based in Kansas City and offers the opportunity to work in a collaborative, fast-paced environment supporting legal billing and client matter management processes.
This is a great fit for someone with experience in legal billing, finance, or professional services who is detail-oriented and enjoys working with systems, data, and internal stakeholders.
Key Responsibilities:
Set up new client matters in the billing system, ensuring all rate structures and invoice delivery methods are properly configured
Review client billing guidelines and implement requirements such as cost caps, eBilling compliance, and split billing
Manage timekeeper rates and maintain accurate billing and matter records
Create and update billing groups, contacts, addresses, and matter plans
Perform edits, revaluations, and adjustments to time entries as needed
Support ongoing compliance with client requirements and invoice delivery standards
Maintain shared inbox for billing and intake-related requests
Generate ad hoc reports and complete regular administrative tasks as assigned
Support internal teams with intake and billing questions in a timely and professional manner
Observe confidentiality and data protection best practices in all aspects of the role
Qualifications:
Bachelor’s degree in Accounting, Business Administration, or related field (or equivalent experience)
Familiarity with Elite or similar financial/legal billing software (required)
Proficiency in Microsoft Excel and Office Suite
Strong understanding of client billing guidelines and rate structures
Excellent written and verbal communication skills
Ability to work independently and as part of a team
Flexible and proactive, with strong attention to detail
Job Type: Full-time
Pay: $60,000.00 – $65,000.00 per year
