OVERVIEW

We are a fast-growing Immigration Law Firm seeking a friendly, motivated, and highly organized Office Receptionist to join our team.

As the first point of contact for our clients, you will be the face of our firm — setting the tone with a warm, professional, and empathetic presence that makes every client feel heard and valued.

This position plays an important role in supporting both our front-office operations and consultation/sales team. In addition to assisting clients, managing calls, scheduling appointments, and providing administrative support, you will help ensure consultations and sales meetings are properly set up and run smoothly.

You will work closely with our Attorneys, Paralegals, Intake/Sales Team, and Management to create an organized and professional client experience from the moment a potential client contacts our office through their in-office consultation.

Prior experience in the legal field is a plus, but not required — we are committed to training the right candidate.

RESPONSIBILITIES & DUTIES

  • Serve as the first point of contact for clients — greet visitors warmly and create a welcoming, professional experience from the moment they walk in or call.
  • Answer and manage a high-volume, multi-line phone system; screen, direct, and return calls from existing and prospective clients with professionalism and empathy.
  • Conduct initial client intake by gathering key information and directing inquiries to the appropriate attorney, case manager, or intake team member.
  • Receive walk-in clients, collect their information, process payments, and create invoices as needed.
  • Coordinate directly with Attorneys and case managers to schedule appointments, ensuring there are no double-bookings and that team calendars remain accurate and current.
  • Notify the appropriate team member through the designated communication channel when clients arrive for appointments.

Consultation & Sales Team Support

  • Provide front-office support to the Intake and Sales Team to ensure potential-client consultations are organized and run smoothly.
  • Prepare consultation areas and equipment before scheduled meetings, including computers, video-conferencing systems, documents, and any other materials needed for the consultation.
  • Assist with connecting in-office clients with remote or virtual members of the consultation/sales team when necessary.
  • Communicate promptly with the Intake/Sales Team when a potential client arrives and ensure the client is properly directed and prepared for their consultation.
  • Help maintain an organized flow of consultations throughout the day by monitoring arrivals, appointment status, and communication between the front desk and consultation team.
  • Assist with administrative tasks related to consultations, including gathering required information, documents, and client details before or after the appointment.
  • Help ensure prospective clients receive a professional, organized, and welcoming experience throughout the consultation and hiring process.

Administrative & Office Support

  • Submit required intake information and documents for prospective new clients (PNCs) into MyCase.
  • Assist with scanning, organizing, and filing important legal documents.
  • Handle incoming and outgoing mail, including sorting, distributing, and filing correspondence appropriately.
  • Maintain a clean, organized, and professional office environment, including reception, open areas, consultation spaces, and common areas.
  • Ensure physical and digital files are maintained in proper order; file documents once they have been reviewed and approved by the appropriate paralegal.
  • Scan closed cases and compile relevant information for management review and reporting.
  • Keep management informed of daily office activity, client arrivals, scheduling concerns, and relevant updates on an ongoing basis.
  • Handle all client and firm information with strict confidentiality, professionalism, and discretion at all times.

REQUIREMENTS

  • Bilingual — fluent in both Spanish and English, spoken and written.
  • Basic computer literacy, including Microsoft Word, Excel, and Outlook.
  • Excellent written and verbal communication skills.
  • Strong customer-service orientation with a warm, empathetic, and professional demeanor.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks and shifting priorities in a fast-paced environment.
  • Ability to handle sensitive and confidential information with discretion.
  • Comfortable managing a high-volume, multi-line phone system.
  • Comfortable using computers, virtual meeting platforms, and office technology to assist with client consultations.
  • Strong teamwork and communication skills with the ability to coordinate between multiple departments.

PREFERRED QUALIFICATIONS

  • Experience in a legal, paralegal, or administrative office setting.
  • Familiarity with immigration law processes or legal terminology.
  • Experience with MyCase or similar legal case-management software.
  • Prior experience in a high-volume call center or customer-facing role.
  • Experience supporting a sales, intake, consultation, or customer-service team.
  • Experience with virtual meeting platforms such as Microsoft Teams or similar systems.
  • Active presence on and experience managing social media platforms.

Pay: $15.00 – $17.00 per hour
