Job Summary:
The Fleet Compliance Manager is responsible for ensuring that every truck and trailer in the fleet is compliant, properly registered, and road-ready across all states of operation. This role tracks and maintains accurate records for every unit, keeps registrations, plates, permits, and inspection decals current in every operating state, and oversees the terminal shop to ensure vehicles are fully cleaned, inspected, and prepped before being assigned to a new driver. As a leadership role, this individual must be highly organized, detail-driven, and proactive in staying ahead of renewal deadlines and regulatory requirements across a multi-state fleet, while ensuring the shop runs efficiently and supports fleet readiness.
Key Responsibilities:
- Maintain a complete, accurate inventory and tracking system for every truck and trailer in the fleet, including current location, assignment, and compliance status.
- Ensure all vehicles and trailers are properly registered, licensed, and permitted in every state where they operate.
- Track and renew license plates, registrations, and IRP/IFTA credentials before expiration to avoid lapses or roadside violations.
- Coordinate annual DOT inspections and ensure current inspection decals are affixed to all vehicles and trailers.
- Monitor and maintain title, lien, and ownership documentation for all fleet assets.
- Ensure every truck is fully cleaned, inspected, and prepped in the shop before being assigned or onboarded to a new driver.
- Oversee daily operations of the terminal shop, including scheduling, staffing coordination, and workflow, to ensure vehicle prep and compliance work stay on schedule.
- Ensure all vehicles meet safety and mechanical standards before being placed back in service.
- Track vehicle and trailer movement across terminals and states, maintaining an up-to-date master fleet roster.
- Manage state-specific compliance requirements (e.g., apportioned plates, emissions testing, weight permits) for a multi-state fleet.
- Coordinate with DMV offices, licensing agencies, and third-party registration services across multiple states.
- Maintain organized digital and physical files for registration, titling, and permit documentation for each unit.
- Flag and resolve compliance issues, such as expired plates, missing permits, or lapsed inspections, before vehicles are dispatched.
- Partner with dispatch and operations to ensure only compliant, road-ready units are assigned to routes.
- Support new driver onboarding by ensuring an assigned vehicle is compliant, clean, and ready for pickup.
- Prepare and present fleet compliance and asset status reports to leadership.
- Responsibilities and tasks outlined are not exhaustive and may change as determined by the needs of the company.
Qualifications:
- Minimum of 3-5 years of experience in fleet administration, vehicle registration/titling, or DOT compliance, ideally across a multi-state fleet.
- Strong working knowledge of IRP, IFTA, state registration, and titling requirements.
- Experience coordinating DOT annual inspections and managing inspection decal compliance.
- Highly organized with strong recordkeeping and data management skills across a large fleet (200+ units).
- Ability to track and manage deadlines across multiple states and jurisdictions without missing renewals.
- Experience working with DMV offices, state licensing agencies, or third-party registration and permit services.
- Comfortable coordinating with shop and maintenance staff to confirm vehicle readiness and cleanliness standards.
- Proficiency with fleet management or asset tracking software, as well as MS Office platforms including Outlook, Excel, Word, and PowerPoint.
- Excellent verbal and written communication skills with strong interpersonal abilities.
- Ability to work effectively both independently and as part of a collaborative team.
- Strong problem-solving skills and sound judgment under pressure.
- Valid California driver’s license with a clean driving record.
- Bilingual in English and Spanish is a plus.
Physical Requirements:
- Work is performed in an office setting with regular time in the shop and yard to inspect vehicles.
- Requires the ability to walk the yard and physically inspect trucks and trailers in varying weather conditions.
- May require occasional travel to terminals or DMV/licensing offices across multiple states.

Pay: $80,000.00 – $95,000.00 per year
