STATEMENT OF DUTIES

Summary of Job Classification:
Provides entry level case processing assistance and customer service via counter, telephone, and electronic means. Creates new cases, processes pleadings, accepts payments, and related work. Serves in a training capacity in all areas of more advanced responsibilities.

This position may qualify for a signing award of up to $5,000.00 The signing award must be determined based on the unique and critical skills required in relation to the job requirements where there is a shortage of qualified candidates.

ESSENTIAL FUNCTIONS

To perform this job successfully, an individual must be able to perform each essential function listed below satisfactorily. Assists customers with paperwork, answers questions, reviews court forms for completeness, and assigns case numbers.

Receives and processes incoming correspondence via email, mail, and in-person filings and distribution.

Directs customers to appropriate services such as legal clinics, self-help information and specialists, local libraries, the bar association, or family court facilitators.

Maintains case documentation, including updating contact information, processing bond forfeitures, and entering transcript requests. Adheres to data integrity and timelines per applicable laws and regulations.

Transfers information from law enforcement tickets or information filed into the case management system.

Manages scheduling for time sensitive cases, such as cases requesting protection orders or other emergency matters. Ensures court-scheduled events and review dates are entered in every case.

Accepts and processes payments via cash, check, and credit card for court fines, fees, filing fees, and bonds. Reconciles cash drawer and prepares the daily deposit.

Responds to customer’s inquiries via phone, email, and voice mail. Acts as liaison between division/Judicial Officer and customers, directs parties to correct location and/or divisions, de-escalates situations of stress or conflict, and explains court processes without providing legal advice.

Trains within trial court procedures.

Issues orders and notices from the court, including orders regarding case deadlines, notices of new case filings, receipt of trial court records, and mandates returning authority to a trial court once case is complete. Ensures service to all necessary litigants and trial courts.

Completes required trainings and attend meetings as requested.

Performs other duties as assigned.

Employee normally perform assignments after receiving detailed instructions as to methods, procedures, and desired end results with little room for deviation. The immediate Reviewer may, at times, provide close and constant review. Impact of actions are moderate.

Knowledge & Skills:
Basic: Work requires the use of basic skills and general knowledge of work. Incumbent can complete basic or routine tasks, but frequently references others for non-routine tasks. Likely impact on organization is standard.

Fiscal Responsibility:
May be responsible for the billing, collection and/or accounting of funds. May be responsible for the handling and balancing of cash.

MINIMUM QUALIFICATIONS

Education and Experience Equivalency:
High school diploma or G.E.D.

Work Related Experience:
Less than 1 year of experience.

Licenses and Certifications:
None.

Physical Effort Requirements:
Sedentary Work – Exerting up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally.
