Key Responsibilities

Prepare and amend various documents and correspondence;

Prepare court bundles and documents to conform with Court’s requirements;

Ensure timely and accurate filing of e-mails and documents in their respective matter to worksite;

Create comprehensive hard copy files and e-bundles as required;

Conduct searches for Court Rules and Case Precedents in Knowledge Management Support;

Act as first point of contact for all operational process queries and assist with providing practical/refresher training to other secretaries and fee earners;

Prepare conflict checks, undertake and complete file opening procedures and assist with CDD requirements;

Assist with the team’s archiving process;

Organise and coordinate business travel (as required);

Enter and maintain fee earners business development contacts, activities and client information in Interaction and Aderant;

Bill invoices as necessary; and

Any other duties as assigned in support of the firm.

Skills, Knowledge and Expertise

3-5 years’ work experience as a Legal Secretary/Executive Secretary within a similar environment;

Experience in drafting legal or other professional correspondence;

Experience with administrative support of matters relating to Section 238 dissenting shareholder fair value positions is a plus;

Excellent written and oral communication skills, with an above average typing speed;

Demonstrated ability to effectively liaise with 3rd parties including clients;

Experience in working to tight reporting deadlines and meeting demanding client obligations;

Superior organisational skills and a proven ability to work effectively in a team as well as on own initiative;

A high level of proficiency with IT business software packages, including Microsoft applications such as Word, Excel, PowerPoint and Outlook; and

Ability to adhere to the highest level of confidentiality at all times.
