Job Summary
Our client, an engineering company is seeking an Executive Legal Assistant to support their General Counsel and Legal Team. The Executive Legal Assistant provides high-level administrative and organizational support to the Legal Department, assisting with corporate compliance, Board of Directors, and corporate registration and professional licensing matters. Reporting to the General Counsel, this role suits a detail-oriented, highly organized professional with a strong grasp of corporate structures and regulatory requirements.
Essential Duties & Responsibilities
Legal Department Support
- Handle day-to-day administrative needs of the Legal Department
- Keep organized records and calendars for legal matters such as subpoenas, discovery responses, document requests, and pending litigation
- Help schedule and coordinate depositions and other discovery logistics
- Monitor jurisdiction-specific filing and claim deadlines relevant to the business
- Oversee document and file organization for the department
Board of Directors Support
- Attend and record notes during quarterly and special Board meetings
- Support minute-taking and recordkeeping for Board matters
Compliance
- Help track and manage professional and entity licensing requirements across jurisdictions
- Support efforts to keep corporate registrations current and in good standing with state agencies
- Assist with filings and submissions in government compliance systems
Requirements
- Bachelor’s degree in legal studies or related field, with 5+ years of relevant experience
- Prior experience supporting senior executives or board-level leadership
- Strong organizational skills and close attention to detail
- Proven ability to juggle multiple deadlines and projects
- Background in a regulated industry a plus
- Paralegal training or corporate law/compliance experience a plus
- Comfort with compliance or license-tracking software
- Proficient in Google Workspace and Microsoft Office
- Notary Public commission a plus
