We are Hiring! LHH is seeking a highly skilled and professional Legal Executive Assistant to join a dynamic legal team. This pivotal role will serve as the main point of contact between attorneys and clients, providing exceptional support while ensuring seamless communication. The ideal candidate will be a detail-oriented self-starter, capable of handling multiple assignments with discretion, maintaining confidentiality, and managing a fast-paced workload with minimal supervision. Flexibility to work occasional overtime is required.
Key Responsibilities:
Manage and maintain busy calendars, emails, and phone communications, scheduling appointments as needed.
Coordinate and organize complex travel arrangements.
Maintain and update client files and contact lists.
Handle document management tasks, including drafting, transcribing, proofreading, and producing correspondence.
Conserve attorney time by reviewing, researching, and routing correspondence appropriately.
Screen, monitor, and respond to incoming communications, ensuring timely distribution.
Process expense reimbursements, manage expenditure reports, and reconcile credit card statements.
Handle client billing, collections, and time entry.
Manage client relationships through regular communication with opposing counsel, courts, and clients.
Oversee client engagement and conflicts processes.
Assist in business development initiatives and prepare filings.
Skills & Competencies:
Highly organized with an exceptional eye for detail and the ability to manage multiple tasks and priorities under pressure.
Proactive, results-oriented, and able to take initiative with minimal supervision.
Strong interpersonal skills and the ability to collaborate effectively in a team setting or independently.
Excellent time management, problem-solving, and communication skills.
Ability to adapt quickly to new situations and work under tight deadlines.
Willingness to be responsive outside of regular business hours when needed.
Qualifications & Experience:
A minimum of 8-10 years of experience as an executive or administrative assistant in a professional or legal setting.
Bachelor’s degree or equivalent experience preferred.
Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) and other office technologies.
Experience with document management systems is highly desirable.
