Job Overview
Pino Law Group PLLC is an exciting and busy commercial, investment and securities boutique law firm seeking a highly organized, proactive and detail-oriented Executive Assistant to support the attorneys and the office functions in an attractive and relaxed office located in downtown Winter Park one block off Park Avenue. Our ideal candidate is conscientious and eager to be helpful with a kind and pleasant disposition and an outgoing personality.

Skills required include attention to detail, transcription accuracy and speed, strong grammar, proofreading, spelling and verbal skills, with experience in client interaction, client management, monthly client billing, and managing a busy calendar and travel itinerary. Our candidate can work independently as well as part of a team. The position carries a very attractive compensation package with Full Benefits, 401(k) Retirement Plan and Profit-Sharing.

Responsibilities

Transcribe dictation for documents and correspondence accurately and efficiently.

Perform data entry tasks to maintain up-to-date client records and case files.

Type legal documents, briefs and reports with high attention to detail.

Coordinate projects by managing timelines, deadlines and deliverables.

Provide exceptional customer service to clients, addressing inquiries and concerns promptly.

Manage calendars for attorneys, scheduling appointments and court dates effectively.

Oversee office management tasks including filing, organizing documents, and maintaining office supplies.

Utilize Docu Sign for electronic signatures on legal documents as required.

Proofread legal documents to ensure accuracy and compliance with legal standards.

Operate phone system to handle incoming calls, directing them to the appropriate personnel.

Qualifications

Three years previous experience as an Executive Assistant or in a similar administrative role is required.

Proficient in transcription, data entry, typing, and project coordination skills.

Strong client service orientation with excellent verbal and written communication skills.

Familiar with calendar management tools and office management practices.

Experience with Docu Sign or similar electronic signature platforms is a plus.

Detail-oriented with strong proofreading skills to ensure document accuracy.

Ability to work independently as well as collaboratively within a team environment.
