Position Overview

We are seeking an experienced, highly organized, and proactive Executive Assistant to support the attorney and oversee the day-to-day operations of our growing solo law practice. This is a multifaceted role that combines executive-level administrative support, legal assistance, office management, and client relations.

Key Responsibilities

Executive & Administrative Support

  • Provide high-level executive support to the attorney, managing priorities and ensuring daily operations run efficiently.
  • Manage attorney calendars, appointments, court appearances, deadlines, and scheduling conflicts.
  • Coordinate meetings, consultations, and communications with clients, courts, opposing counsel, and third-party vendors.
  • Screen phone calls, manage correspondence, and serve as the primary point of contact for the office.
  • Anticipate attorney needs and proactively resolve scheduling and administrative issues.

Legal & Case Management

  • Draft, proofread, format, and revise legal documents including pleadings, motions, correspondence, discovery, and court filings.
  • Prepare, file, and manage documents through Massachusetts electronic filing systems while ensuring compliance with court rules and deadlines.
  • Maintain case files, litigation calendars, and monitor statutory and court-imposed deadlines.
  • Assist with case preparation for hearings, mediations, depositions, and trial.
  • Conduct basic legal research and gather supporting documentation.
  • Communicate with clients regarding case updates, document requests, and scheduling.

Office Management & Operations

  • Oversee the daily operations of the office to ensure an organized, efficient, and professional work environment.
  • Manage office supplies, vendors, equipment, and general administrative functions.
  • Develop and improve office procedures, workflows, and organizational systems.
  • Maintain organized physical and electronic filing systems.
  • Assist with technology implementation and utilize legal software to improve efficiency.
  • Support firm marketing efforts and social media initiatives as needed.

Client Experience

  • Welcome clients and visitors with professionalism and empathy.
  • Deliver exceptional client service throughout every stage of representation.
  • Maintain confidentiality of all client and firm information.
  • Build positive relationships with clients while serving as a trusted point of contact.

Qualifications

  • Prior law firm experience as an Executive Assistant, Legal Assistant, Paralegal, Office Manager, or similar role preferred.
  • Strong knowledge of the Massachusetts Rules of Evidence, the Massachusetts Rules of Civil Procedure, court procedures, litigation processes, and electronic filing systems.
  • Experience drafting legal documents and managing court deadlines.
  • Excellent organizational, time management, and multitasking abilities.
  • Ability to work independently while managing multiple priorities in a small office environment.
  • Strong leadership skills with a proactive, solutions-oriented mindset.
  • Outstanding written and verbal communication skills.
  • High level of professionalism, discretion, and attention to detail.
  • Proficiency in Microsoft Office; experience with legal case management software preferred.
  • Experience working on Mac computers is required.
  • Familiarity with social media and office technology is a plus.
  • Genuine interest in the legal profession and a desire to grow with the firm.
