The Executive Assistant provides high-level administrative support to the CEO and additional executive team members as needed, managing schedules, travel, projects, and other tasks to ensure smooth operations and efficient workflows. These objectives will be achieved by an experienced, initiative-taking, highly organized and detail-oriented administrator who has solid communication, technology and analytical skills in the operational scope of this growing oil field services company.

Essential Duties And Responsibilities

The essential functions include, but are not limited to the following:

Manage calendars, schedules meetings, and coordinate travel arrangements.

Oversee front desk administration, correspondence, emails, and phone calls.

Prepare reports, presentations, and other materials, assist with project management, and task coordination.

Serve as a point of contact for executives and other stakeholders.

Communicate effectively with internal and external parties and facilitate meetings and conferences.

Provide legal support to corporate attorneys such as, preparing check requests, requesting documents, operational permits for numerous entities, and coordinating with third parties.

Assist Risk Management to report workers’ compensation claims, communicate with corresponding adjusters, and monitor work status updates for all injured workers.

Must be able to manage highly confidential information with discretion.

Prioritize tasks and manage time effectively.

May manage office supplies and equipment and any other duties assigned.

Minimum Qualifications (Knowledge, Skills, And Abilities)

6-8 years of experience in an Executive, Legal or Risk Assistant role supporting senior level leaders.

Experience using Travel & Expense software i.e., Corpay.

Highly proficient managing senior level Outlook calendars.

Advanced skills in Microsoft Suite including Word, Excel, Outlook, and PowerPoint.

Ability to maintain a strict level of confidentiality.

Excellent organizational and time management skills.

Strong interpersonal, verbal, and written communication skills.

Highly organized and ability to oversee multiple projects at once.

Works with a sense of urgency, thoroughness, while maintaining composure.
