Charles County Government is seeking a dynamic Legal Assistant I to perform specialized secretarial work for attorneys. This work will include preparing legal documents, maintaining legal files, interviewing persons to prepare statements, and performing related legal office work.
Essential Job Functions
Produces a variety of typed or word processed legal documents such as briefs, pleadings, memoranda, writs and orders; transcribes oral and/or machine dictation, or types copy from drafts; proofs and edits typed materials for accuracy of grammar, spelling, punctuation and format and makes corrections; ensures adherence to established style guides and formats.
Maintains case activity record using computerized case management system: enters case information and activity and updates and corrects data as necessary.
Provides clerical support services to boards and commissions as assigned; organizes files, attends meetings and records notes; prepares minutes and agendas; responds to inquiries regarding board matters and follows up on board actions to ensure their proper implementation.
Composes correspondence and memoranda in response to recurring inquiries and as deems appropriate.
Keeps supervisor informed of matters; researches files and records and compiles data for supervisor’s review.
Communicates with courts and others to arrange schedules, meetings and relay or obtain information, or pass on instructions; maintains liaison with and informs other parties of matters requiring their attention; speaks for supervisor on matters on which supervisor’s views are known, or as otherwise authorized.
Receives and assists visitors to the office; queries visitors and directs them to appropriate staff or offices; answers substantive questions regarding office/department operations for the purpose of facilitating the use of services.
Assists the public, clientele, and others in accessing and making use of department services by advising them regarding their needs and services provided.
Receives, screens, and refers telephone calls; queries callers and transfers or refers calls to appropriate staff or other offices; answers technical or substantive questions regarding office/department operations. Receives, screens and routes mail; directs items to other staff or County offices as appropriate.
Maintains manual and/or digital financial, accounting, personnel and other administrative and management files and records; ensures confidentiality of files and records and uses discretion in controlling access to and release of information.
Processes approved applications for Gaming Board, takes payment/fees to Treasurer’s Office, and mails approved application to applicant. Maintains files, collects fees, fund raising statements and membership rosters and works with staff attorneys to answer inquires and to assure compliance with gaming laws.
Prepares payment agreements, complaints, other court documents in collection matters. Keeps accurate account of amounts owed, court dates, and time lines. Collects payments and process with the Treasurer’s office. Notifies appropriate parties when account is paid in full (i.e., water/sewer department, community services). Keep accurate filing system and record of closed file. Works with staff attorney in collection matters.
Provides notary services.
Acts as liaison between staff attorneys and outside entities.
Performs other related job duties as assigned.
Qualifications, Knowledge, Skills, and Abilities
Education and Experience:
High school diploma or an acceptable equivalency diploma (GED). Two (2) years of office clerical and secretarial experience and general knowledge of law office procedures and the legal system; or an equivalent combination of education, experience and training.

Work is subject to frequent interruptions and to inflexible deadlines.
Knowledge, Skills and Abilities:
Knowledge of modern office procedures, software and practices including operation of office appliances such as calculators, computers, copiers/scanners, and typewriters.
Knowledge of legal assistant procedures and practices.
Knowledge of law office procedures and the legal system.
Ability to provide legal assistant services to the County Attorney and Boards and Commissions.
Ability to perform office assignments involving substantive operations of the unit requiring an understanding of unit operations and policies.
Ability to assist the public, clientele, and others to utilize services by explaining, instructing and advising them regarding their needs and requests and the services provided.
Ability to perform general office clerical work quickly and efficiently.
Ability to initiate daily assignments, follow through on matters, and use independent judgment and training to take appropriate actions to deal with standard recurring situations.

PHYSICAL DEMANDS
The work is sedentary with frequent periods of light physical activity, and is performed in office surroundings. Typical positions require workers to walk or stand for long periods; lift and carry up to 20 pounds; climb stairs, bend, reach, hold, grasp and turn objects; and use fingers to operate computer or typewriter keyboards; and the ability to speak normally and to use normal or aided vision and hearing.
