The Court Operations team is a service-orientated unit, tasked with providing a range of services and tools that support the effectiveness, growth, and efficiency of the Courts Department, which is deeply rooted in a culture of innovation and continuous improvement. This unit supports all teams (including Leadership) and is responsible for division wide training efforts, procedure & documentation efforts, project support, and process improvement assistance.

Position Function and Duties

The Court Operations Supervisor has entry level responsibilities for planning, organizing, and directing the daily operations of the Court Operations team. This includes motivating and influencing team members to obtain desired business objectives. In this position you will serve as a coach, mentor, and advocate for the employees and organization. All functions are performed in accordance with the Court Department policies, procedures, and guidelines with ample direction from management.

Position Duties include but are not limited to:

The main duty of this position is supervising employees of the Court Operations team in the Courts Department.
Oversee assigned responsibilities to support the team objectives in daily operations, training needs, and improvement efforts
Monitor business operations and workload to ensure staff and processes are aligned
Monitor employee quality, accuracy, and timeliness work product to ensure performance standards are met
Ensure procedures for all team functions are documented, up to date, and team members are following them
Execute and prioritize business needs in alignment with the Courts Strategic Plan and meet goals defined
Assist in monitoring the staffing needs of the team, assist in the interview process to hire qualified candidates to meet those needs
Oversee the scheduling and coverage needs within the team
Evaluate the training needs of the division, coordinate sessions, assess progress, and provide direction

Qualifications

Education, Experience & Certification(s):

Associate’s Degree or two years of direct experience required
One year of supervisory experience; or any combination of education, training, or experience that demonstrates the ability to perform the duties of the position
Four years of clerical or any combination education and experience that demonstrates the ability to perform the position duties

Knowledge, Skills & Abilities:

Ability to effectively monitor performance objectives
Must be highly motivated with good communication skills and capable of leadership by example
Ability to develop and motivate a team
Ability to establish and maintain effective working relationships with employees, other agencies and the public
Ability to communicate effectively, both verbally and in writing. This includes creating and maintaining office procedures, reports, and correspondence in a clear and concise manner.
Must be competent and knowledgeable of legal procedures, accounting functions and computer operations
Good organizational skills and attention to detail required
Perform duties with considerable knowledge of procedures and computer operations
Effective interpersonal skills, strong work ethic and professional demeanor required
Ability to work and make decisions under pressure and meet deadlines, goals and objectives as set forth
Use tact in sensitive situations, maintain confidentiality of restricted files, and maintain a courteous attitude at all times
Work is performed under minimum supervision, requires initiative and independent judgment
Demonstrate proficiency with operations and general care of the PC, printers and other required office equipment
Ability to work extended hours

Physical Requirements:

Office: Majority of the time is spent sitting at the computer, remainder of the time is spent assisting in other functions
Work from Home (if applicable): Majority of the time is spent sitting at the computer
This position requires clear verbal interaction with employees, the public and agencies
This position may require bending and reaching
This position may require going to other departments and/or offices on different floors and/or buildings throughout the day
This position may require occasional travel to other sites to review products, or attend meetings, seminars or classes
Ability to use standard office equipment
Ability to lift up to 30 pounds
