Duties: Provide support for the organized flow of the office, which requires clerical competence. Familiarity with legal documents, procedures, principals, and terminology as well as a high level of thoroughness and accuracy is required in performing various clerical assignments and routine administrative details within established time constraints. Work with limited supervision, ability to act independently according to general instructions and procedures. Performs day-to-day administrative tasks such as maintaining information files and processing paperwork. Assembles data and coordinates work flow for the timely preparation of routine correspondence and legal documents by work processing. Prepares and processes legal documents and papers, such as summonses, subpoenas, complaints, claims, appeals, motions and pretrial agreements. Mails, faxes, e-files, emails or arranges for delivery of legal correspondence to clients, witnesses, and/or city officials. Handles creation, filings, documents, memos, letters and e-filings for all Rail Road Commission Files, Open Record Requests, Claims Cases, Deed Restriction files. Recoveries, Lawsuits, Agenda and Department files. Receives and places telephone calls and takes messages as needed. Schedules and makes appointments. Makes photocopies of correspondence, documents, and other printed materials. Scans materials, filings, petitions, cases, pictures, letters, memos, and correspondence with proper parties. Drafts and types memos, letters and emails. Collects information such as employment, personnel, medical and other records. Uses computers and computer systems to set up functions, enter data, create cases, send files, letters, memos, and research/search internet for information or process information. Communicates with people outside the organization, representing the organization to the public and other external sources. This information can be exchanged in person, in writing, by telephone or email. Enters, transcribes, records, scans, emails, e-files, stores, or maintains information in written or electronic form. Monitors and controls resource and oversees the spending of money. Compiles, codes, categorizes, creates, calculates, tabulates, audits, or verifies information or data. Track cases and their status, and files, organizes, and maintains all case files in the file room once matter is closed/completed. Assists the Administrative Coordinator with City Council Agenda item preparation and other tasks as necessary. Assists Administrative Coordinator to create Agenda files, other files as needed and file. Must have and maintain, without interruption, all necessary licenses, certifications, clearances, and/or job requirements. Works the assigned schedule and complies with the City’s timekeeping and attendance policy.
Qualifications: Bachelor’s Degree. Minimum of 2 years’ experience in a legal setting. Minimum of 6 years of related clerical or secretarial experience or equivalent combination of education and experience.

Civilian employees accumulate vacation at the following rates:
Less than 6 years of service – two weeks of vacation per year.
From 6 to less than 11 years of service – three weeks of vacation per year.
From 11 to less than 21 years of service – four weeks of vacation per year.
From 21 to less than 26 years of service – five weeks of vacation per year.
From 26 years of service and up – six weeks of vacation per year.
