GENERAL FUNCTIONS:
Performs a variety of responsible office, secretarial and administrative duties; regularly and independently, which requires a broad scope and knowledge of clerical and administrative practices and procedures. Works with a variety of confidential information regarding City legal issues.
ESSENTIAL FUNCTIONS (Without Accommodations):
· Able to read, write, speak and understand English in order to communicate with co-workers, City officials and the general public.
· Able to work a forty (40) hour workweek and occasional overtime when necessary.
· Able to use equipment and/or materials as specified in this job description.

· Able to maintain confidentiality.
DUTIES/TASKS/JOBS
· Accurately prepare correspondence, ordinances, resolutions and other legal documents at City Attorneys’ direction.
· Research and prepare preliminary drafts of resolutions and other legal documents for attorney review.
· Maintain City Attorney web page.
· Reception duties include screening calls, and scheduling appointments for the Department.
· Provide administrative support for prosecution of municipal ordinance violations and civil forfeiture cases.
· Assist other department personnel with specific work assignments.
· Relay instructions and directions to other department heads at direction of City Attorney.
· Perform bookkeeping functions, including purchasing, payroll and drafting budget documents under supervision of City Attorney.
· Assist in maintaining department filing system and library.
· Provide back-up secretarial assistance in other areas when necessary.
· Submit courthouse filings and work with Clerk of Court as necessary.
· Arrange all business travel for department personnel; assist with filing of travel authorization requests and travel vouchers outlined by the City Travel Policy.
REQUIRED KNOWLEDGE/ SKILLS/ ABILITIES/ QUALIFICATIONS:
· Ability to communicate in a polite and effective manner with co-workers, City officials and the general public.
· Must conduct business in a professional and respectful manner.
· Must maintain a high level of confidentiality regarding work product.
· Must possess basic English grammar and business composition skills as well as basic math skills.
· Must possess strong communication, organization, administrative and people skills.
· Ability to work overtime as necessary to meet deadlines.
· Ability to be cross trained to perform other duties in the City Attorney’s office.
· Ability to work independently, within the scope of existing city and department rules.
· Ability to produce error-free documents from rough draft, plain copy or transcribed instruction.
· Ability to understand complex written regulations and instructions.
· Ability to maintain files and organize documents.
· Ability to stand or sit for long periods of time.
· Ability to handle stress of meeting deadlines.
· Ability to transcribe from audio recordings.
· Proficient with Microsoft software (Word, Excel, Outlook, Power Point), and City software including Legistar, One Solution, Optiflow, Optiworkflow, One Solution and others, and County and District Court software systems.
· Knowledge of or ability to learn appropriate municipal codes, ordinances and laws.
· Knowledge of standard office procedures and familiarity with basic office machines.
· Type 40+ wpm, as certified by the Human Resources Office.
· Excellent customer service skills.
· Sufficient corrected or uncorrected eyesight to read fine print and computer screen.
· High school graduate; bachelor’s degree or college courses preferred.
· Minimum four years progressively responsible, applicable secretarial/administrative office experience as determined by City Attorney.
· Previous legal/litigation experience/high level executive assistant experience.
Job Type: Full-time
Pay: $68,533.00 – $89,093.00 per year
