JOB PURPOSE:
Assist the department by providing technical, paralegal and clerical support for various functions of the Probate Court.
GENERAL EXPECTATIONS:
Be committed to the mission of the Kennebec County Probate office.
Work as a member of a team in the performance of all duties.
Use active communication skills and de-escalation techniques when dealing with others.
Assure quality in work performed and timely completion to facilitate the smooth function of legal proceedings.
Be neat and maintain a professional appearance, dress code is business casual.
Understand and work within Kennebec County Government Policies and Procedures.
Maintain confidence and protect the County by keeping information concerning clients and County Operations confidential.
KEY EXPECTED RESULTS:
Assist the Probate Court by processing all incoming probate matters, including decedents’ estates, guardianships and conservatorships, legal name changes, and adoptions.
Maintain accurate records and reports by docketing estate documents and petitions. Accurately and consistently records all docket entries, fees, dates, and timelines. Reproduces reports to ensure upcoming motions and pleadings are brought to the Judge’s and Register’s attention within the legal time limits.
Assist the public by providing basic information about estates, guardianships, name changes, adoptions, and all other petitions. Responds to requests for the preparation of certificates and copies of documents.
Assist attorneys by advising them on procedures or answering questions either in person or by phone without giving legal advice.
Assist the Judge by drafting and preparing case files, summaries, and orders for hearings.
Maintain the record by recording hearings and performing courtroom duties for all formal estate and name change hearings.
Assist the Register and Deputy Register in drafting and sending correspondence regarding formal estate and legal name change matters as well as other matters that may result from being cross trained as a backup for another paralegal.
Maintain integrity by complying with all processes and laws set forth in relevant statutes and rules.
Contribute to team efforts by accomplishing related results as needed.
Continuing education and training to be efficient in processing all probate proceedings and to be cross trained for all functions within the Probate Office.

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is occasionally required to stand, walk and use hands to finger a standard computer keyboard, computer, mouse, typewriter, printer, copy machine, and telephone.
The employee must occasionally lift and/or move up to twenty pounds. Specific vision abilities required by the job include close vision, distance vision, and the ability to adjust focus.

REQUIREMENTS AND SKILLS NEEDED FOR POSITION OF PROBATE PARALEGAL:
High school diploma or equivalent
Demonstrated ability to work effectively with the public.
Ability to learn and understand complex legal principles.
Willingness and ability to acquire knowledge of topics related to primary job functions
Ability to work independently and as a team to perform job functions in an accurate and timely manner.
Required to become a Maine Notary Public within two months of hire date.

EXPERIENCE:
Three to five years’ experience as a legal secretary or probate clerk.
-OR-
Minimum of two (2) years responsible paralegal/clerical experience.

PAY:
$26.00 – $28.08, 35-hour work week, Monday – Friday
