POSITION SUMMARY:
Responsible clerical work performing support tasks essential to the successful operation of the State’s Attorney’s Office, Circuit Court Division.

***This is a State Authorized Exempt position and is ineligible for membership in a collective bargaining unit.***

STARTING SALARY IS $45,465 ANNUALLY/$21.86 HOURLY

CLASS DESCRIPTION:
Performs intermediate technical level administrative support work under general supervision from an administrative or technical superior. Work typically involves performing clerical and secretarial work, such as data entry and document management, file maintenance of secure and confidential records, and public contact and service. Work may also include accounting clerical tasks such as bookkeeping, keeping of financial and other important records; preparing vouchers for payment; documenting and depositing cash receipts; and controlling, recording, and storing data. Work at this level may also include independent responsibility for a routine clerical process.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Include the following. Other related duties may be assigned.

Performs receptionist duties for the District Court Division.
Answer inquiries over the telephone and in-person concerning specialized functions of the office.
Deals with the public and with County officials and employees.
Performs public relations duties, giving information, receiving instructions, and information and maintaining harmonious relations.
Compiles all serious traffic files including violation of probation cases, enters data into case management system and requests necessary documents and reports.
Monitors and identifies serious traffic cases involved in specialized office programs such as Drug Court, Diversion Program, and Domestic Violence Unit.
Identifies serious traffic cases to be referred to the District Court Screening Program, logs information and forwards to assigned prosecutor for review.
Maintains all serious traffic files, files documents, locates missing files, and enters dispositions into case management system, and closes out files.
Composes and types letters and a variety of material, often technical in nature, such as legal documents or complex reports, and correspondence.
Enters, stores, and retrieves data using word processor, personal computer, and other keyboard based electronic data management system.
Maintains a complex filing system, entering new data, closing out, and transferring folders.
Gathers and summarized information form a variety of sources, working independently, but limited to several well-defined factors, compiles statistics and reports.
Operations a variety of office equipment including typewriter, working processing equipment, calculator, adding machine, and photostat machine.
This is a State Authorized Exempt position and is ineligible for membership in a collective bargaining unit.
SUPERVISORY RESPONSIBILITIES:
This job has no supervisory responsibilities.

MINIMUM REQUIRED EDUCATION/EXPERIENCE

High School diploma or GED and three (3) years clerical experience or equivalent combination of education and experience.

PREFERRED EDUCATION, KNOWLEDGE, SKILLS, AND ABILITIES:

Thorough knowledge of legal nomenclature.
Knowledge of the criminal justice system, laws, regulations and procedures related to assignment.
Skill in word processing including setting up and typing of a variety of materials to include letters and reports. Ability to exercise
Ability to exercise good judgment in deciding when to act independently and when to refer situations to a higher authority.
Ability to perform case control, monitoring, and coordinating tasks.
Ability to express ideas clearly and effectively both orally and in writing.
Ability to work on a cooperative, courteous, and effective basis with associates, officials, and representatives of public and private agencies and the public.

Howard County Police Department Records Management System access.
MILES/NCIC Authorization.
