Job Summary

The Office Manager is responsible for office and building administration, including greeting visitors, answering phones, managing office supplies, contacting vendors, and supporting other projects that the firm needs for efficient operations. This position requires a sense of ownership of the administrative functioning of the office and managing the organization and cleanliness of the building. This position must learn the business well enough to support general operations.

Responsibilities

1. Greets clients, vendors, and guests at the reception desk.

2. Answers the main telephone line and transfers calls.

3. Orders office supplies. Stocks and organizes office supply area to ensure that supplies are available and easy to find.

4. Maintains copy room supplies and organization. Ensures copier has paper.

5. Sets up conference rooms including basement conference room for clients and team members. Ensures the area is clean, organized, stocked, and sets up and tests technology needs prior to meetings. Charges blinds.

6. Ensures kitchen area is clean by stocking, emptying dishwasher, cleaning out fridge, etc.

7. Ensures bathrooms are stocked (toilet paper, paper towel, soap, tissue, etc.) and functioning (soap dispensers, sinks, toilets, etc.)

8. Contacts appropriate vendor as soon as possible to address inoperative items throughout the building.

9. Understands the business, court cases, and team members in order to best support the needs of the firm.

10. Uses firm software systems to manage job duties.

11. Brings lunches and/or supplies to the courthouse during trial and picks up discovery.

12. Organizes mock trials.

13. Sets up new hire offices and provides information on parking, time off, and phone operations.

14. Assists attorneys with CLE course registration.

15. Books accommodations for travel for hearings, USLS events, and trials.

16. Plans all firm functions including holiday parties, all firm lunches, birthdays, and client dinners.

17. Christmas Card project.

18. Organizes mail, scans bills, and checks to CFO for review.

19. Deposits checks.

20. Performs phone intakes for potential clients.

21. Manages firm subscriptions.

22. Sends out office closure emails.

23. Manages conference room calendar and schedule.

24. Assembles reports, compiles data, and summarizes records and reports.

25. Prepares materials for the firm such as information packets.

26. Establishes and maintains organization systems to support the functioning of the firm.

27. Performs daily walk throughs to ensure the building is clean and organized.

28. Determines systems appropriate for particular attorneys, paralegals, and/or cases, to best support the administrative needs of the firm.

29. Checks in with paralegals and/or partners on a daily basis to ensure that administrative support is provided and if additional support is needed.

30. Researches and makes recommendations on systems that would create additional efficiencies for the firm. Implements and administers systems once approved by management.

31. Vendor management – cleaners, contractors, recycling, trash, IT, parking garages.

32. Address day-to-day building maintenance issues.

33. Procurement of new and replacement equipment and furniture.

34. Management of building projects, including without limitation lighting projects, carpet cleaning, painting, security systems, & crisis/accident management (frozen pipes, floods, etc.) office rental project including showing potential tenants around, scheduling tours and managing loopnet account.

35. Other duties as assigned. This list is non-exhaustive.

Requirements

Proven experience in office management or administrative roles is preferred.
Strong phone etiquette and excellent communication skills are essential.
Proficiency in schedule management and organizational skills to prioritize tasks effectively.
· Strong attention to detail and ability to work independently.
Ability to support a team of trial attorneys in a fast-paced environment.
Thoroughness, flexibility, determination, and high energy team player.
Strong reading skills and computer skills including typing skills and Office 365.
Strong research skills.
Ability to quickly learn documentation management software systems.
Ability to communicate effectively both verbally and in writing, in a culturally sensitive manner with both individuals and groups from diverse backgrounds.
Ability to research issues, do a cost-benefit analysis, and recommend solutions.
Ability to work independently, manage multiple tasks and meet deadlines.
Ability to receive feedback to improve performance.
Ability to analyze issues and identify and implement actionable steps to address needs.
Ability to produce accurate work consistently.

Job Type: Full-time

Pay: $40,881.00 – $50,799.00 per year
