Sloane and Routledge Law Firm is a Fort Worth criminal-defense firm representing individuals facing serious and life-changing allegations throughout North Texas. Our practice includes drug offenses, assault and family-violence cases, intoxication offenses, sex offenses, and other misdemeanor and felony matters.
Our clients are often frightened, overwhelmed, and unfamiliar with the criminal-justice system. We believe excellent representation requires more than courtroom advocacy. It requires disciplined case management, consistent communication, careful documentation, and a legal team that treats every client and every deadline seriously.
We are seeking a professional, highly organized Criminal Defense Case Manager who wants to build a long-term career with our Firm. This position is intended to develop into a senior case-management role for the right candidate.
Position Overview
The Criminal Defense Case Manager serves as the primary administrative and procedural contact for an assigned group of clients. The Case Manager works closely with attorneys, other case managers, courts, prosecutors, clients, and outside agencies to ensure that each matter is properly onboarded, documented, calendared, and moved forward.
This is not a passive clerical position. The person selected must take ownership of assigned matters, identify incomplete work, follow through without repeated reminders, and communicate professionally with clients who may be experiencing significant stress.
The ideal candidate is dependable, emotionally steady, technologically capable, detail-oriented, and committed to remaining with the Firm long enough to develop meaningful expertise and leadership responsibility.
Primary Responsibilities:
Client onboarding and communication
- Welcome new clients and introduce the Firm’s communication and case-management procedures.
- Grant and confirm access to the MyCase Client Portal.
- Send intake forms, authorization forms, welcome materials, and client assignments.
- Schedule intake meetings and other attorney-client conferences.
- Serve as the client’s primary administrative contact.
- Provide timely procedural and status updates using approved Firm templates.
- Identify questions requiring legal advice and route them promptly to an attorney.
- Maintain professional communication with clients who may be anxious, frustrated, incarcerated, or otherwise under substantial stress.
- Document all material communications and follow-up efforts in MyCase.
File and workflow management
- Maintain complete, current, and properly organized electronic client files.
- Review calendars, tasks, case notes, messages, documents, and upcoming deadlines.
- Confirm that court settings, client assignments, internal deadlines, and follow-up dates are properly entered.
- Monitor assigned workflows and ensure that required tasks are completed or reassigned.
- Identify missing documents, incomplete work, unanswered communications, and approaching deadlines.
- Conduct periodic matter-status reviews and report unresolved issues to the assigned attorney.
- Follow Firm naming, filing, documentation, and quality-control procedures.
Court and representation administration
- Draft routine representation documents from approved templates, including appearances of counsel, notices of representation, discovery requests, client letters, and related pleadings.
- Carefully proofread all documents before attorney review, filing, or transmission.
- E-file approved documents and monitor acceptance or rejection.
- Obtain and save file-marked copies.
- Communicate with court clerks, prosecutors, supervision departments, bonding companies, and other agencies when appropriate.
- Obtain probable-cause affidavits, bond paperwork, conditions of release, charging instruments, court notices, and related records.
- Calendar court settings and provide clients with approved attendance instructions.
Discovery management
- Request and obtain discovery from district attorney and county attorney offices.
- Download, transfer, and organize electronic discovery in accordance with Firm procedures.
- Confirm that files are accessible and administratively complete.
- Identify potentially missing, corrupted, mislabeled, or inaccessible materials.
- Contact the appropriate agency to resolve administrative discovery issues.
- Create follow-up tasks when an issue cannot be resolved immediately.
- Maintain a complete Discovery Management case note documenting all production and follow-up activity.
Client assignments and mitigation
- Provide clients with approved mitigation packets, community-service logs, and other assignments.
- Track completion of client forms, records requests, treatment information, character letters, and mitigation materials.
- Follow up professionally when client work remains outstanding.
- Organize received materials for attorney review.
- Do not give legal advice or make independent legal recommendations.
Quality control and escalation
- Review work for accuracy before marking tasks complete.
- Immediately escalate missed or imminent deadlines, warrants, custody issues, bond concerns, court problems, client complaints, missing evidence, or other potential risks.
- Protect confidential information and comply with all Firm cybersecurity and records-management policies.
- Accept corrective feedback professionally and correct recurring issues.
- Assist with improving templates, workflows, checklists, and operating procedures.
- Develop the knowledge and judgment necessary to assume increased case-management and leadership responsibility.
Required Qualifications
- At least two years of professional office, administrative, legal, court, or case-management experience preferred.
- Strong written and verbal communication skills.
- Demonstrated ability to manage multiple active matters, deadlines, and competing priorities.
- Exceptional attention to detail and proofreading ability.
- Reliable attendance and consistent follow-through.
- Ability to communicate calmly and professionally with stressed or difficult clients.
- Sound judgment regarding confidentiality and sensitive information.
- Proficiency with computers, cloud-based software, electronic documents, and task-management systems.
- Ability to learn and consistently follow written workflows and standard operating procedures.
- Willingness to work primarily in person at the Firm’s Fort Worth office.
Preferred Qualifications
- Criminal-defense law-firm experience.
- Experience with MyCase or another legal practice-management platform.
- Familiarity with Texas criminal courts, e-filing systems, discovery portals, and court records.
- Experience working with district attorney, county attorney, clerk, pretrial services, community supervision, or law-enforcement offices.
- Paralegal certificate, associate degree, bachelor’s degree, or meaningful equivalent professional experience.
- Spanish-language proficiency is beneficial but not required.

Compensation and Benefits
- $18.00–$25.00 per hour, depending on directly relevant experience, demonstrated skills, and qualifications
- Full-time position, generally scheduled for 40 hours per week

- Occasional schedule flexibility may be required for urgent client or court-related matters
