Job Summary
We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will be responsible for managing daily office operations, providing exceptional customer service, and supporting the administrative needs of our organization. This role requires a strong ability to multitask, excellent time management skills, and proficiency in various office software applications.
Duties
Serve as the first point of contact for visitors and clients at the front desk, ensuring a welcoming environment.
Provide outstanding customer service by addressing inquiries and resolving issues promptly.
Assist with calendar management, scheduling appointments, and coordinating meetings for staff members.
Maintain organized filing systems, both electronic and physical, to ensure easy access to documents.
Strong attention to detail and accuracy.
Assist with QuickBooks for basic accounting tasks and financial record keeping.
Support personal assistant duties as needed, including travel arrangements and expense reporting.
Perform clerical tasks such as data entry, document preparation, and correspondence management.
Collaborate with team members to streamline office processes and improve efficiency.
Collaborate with the legal team to ensure that all transactions adhere to state and local real estate laws and regulations.
Requirements
Minimum 3-5 years of experience in office administration, real estate transactions, or construction project management.
At least 2 years of paralegal experience, with a focus on real estate law or construction contracts.
Strong front desk experience with a focus on customer service excellence.
Excellent time management skills with the ability to prioritize tasks effectively.
Proficient computer literacy with experience in Microsoft Office Suite and QuickBooks.
Familiarity with calendar management tools and file organization systems.
Strong attention to detail and ability to maintain confidentiality of sensitive information.
Excellent communication skills, both verbal and written.
