Position Snapshot
You will be the operational backbone of our growing office—drafting motions, maintaining deadlines, and acting as a trusted point of contact for clients, trustees, and courts. The role is currently part‑time (20–30 hrs/week) with an flexible hybrid schedule (minimum two (2) day per week onsite in Jersey City).
Key Responsibilities
Communicate professionally by phone and email with clients, trustees, court personnel, and opposing counsel.
Assist attorneys in preparing pleadings, motions, and petitions.
Prepare client engagement letters and routine correspondence.
Manage case timelines—track deadlines, case timelines, and hearing dates.
Maintain case documents and compile motion/trial binders.
Arrange service of documents and prepare related certifications of service.
Enter daily time and expenses for monthly client invoicing.
Provide light administrative support (scanning mail, converting files).
Collaborate with team members to ensure comprehensive case management.
Minimum Qualifications
Excellent Communication Skills: Polished written English for drafting pleadings and client correspondence; professional phone and video‑conference etiquette.
Detail & Deadline Discipline: Proven ability to juggle multiple matters, track critical dates, and follow court formatting rules without hand‑holding.
Tech Savvy: Mastery of everyday productivity tools—Microsoft 365, Adobe Acrobat, and shared calendars for deadline tracking. Confident navigating browser‑based practice‑management platforms, online research services, and cloud storage. Comfortable troubleshooting common software issues, managing large PDF filings, and using keyboard shortcuts to work efficiently.
Growth Mindset: a genuine enthusiasm for adopting new technology—especially emerging AI‑powered tools to streamline workflow and improve client service.
Preferred Qualifications
Proven experience as a paralegal, administrative assistant, or in a similar role within a legal environment.
ABA‑approved Paralegal Certificate or Associate’s degree in paralegal studies.
Hands‑on familiarity with CM/ECF, PACER, and at least one state‑court e‑filing portal.
