Job Description:
We are seeking an experienced and highly skilled Real Estate Office Administrator to join our team. This full-time role requires an extensive background in real estate management, a deep understanding of accounting principles, and exceptional organizational and leadership skills. The ideal candidate is a proactive problem-solver who thrives in a fast-paced environment and is capable of overseeing multiple facets of real estate operations.
Responsibilities:
Real Estate Management:
Write, review, and interpret leases, addendums, and legal notices to tenants.
Handle security deposit management, including compliance with regulations.
Draft and execute listing agreements and property management agreements.
Coordinate and conduct property showings and inspections.
Ensure timely and effective responses to maintenance requests, selecting appropriate contractors to avoid overpayment.
Accounting & Financial Management:
Fully understand and manage Profit & Loss (P&L) statements and balance sheets.
Lead the accounting team to ensure timely owner payouts and accurate financial reporting.
Oversee budgeting and cost control for properties.
Maintain compliance with all financial and legal standards.
Legal & Evictions:
Serve as the liaison with attorneys for evictions and other legal matters.
Prepare and deliver notices to tenants in accordance with lease terms and legal requirements.
Attend court hearings related to evictions and other property matters.
Marketing & Leasing:
Manage property listings using the MLS and other marketing tools.
Develop and implement marketing strategies to maximize property visibility and occupancy rates.
Conduct market research to ensure competitive pricing and positioning of properties.
Team Leadership:
Supervise and support the accounting team, ensuring deadlines and standards are met.
Collaborate with contractors and vendors, managing relationships and negotiations.
Train and mentor team members on best practices and company policies.
Qualifications:
Extensive background in real estate management (minimum of 5 years).
Deep knowledge of accounting principles, P&L statements, and balance sheets.
Proven experience drafting and interpreting leases, addendums, and other real estate agreements.
Familiarity with eviction processes and working alongside attorneys.
Proficient in property marketing and MLS systems.
Strong understanding of maintenance processes and contractor/vendor management.
Exceptional organizational, communication, and problem-solving skills.
Ability to work independently and make decisions with confidence.
