Overview
This is a hybrid role (remote Monday/Friday, in office Tuesday – Thursday).
This role supports the Legal Operations function within the corporate legal department of a financial institution. It combines technical expertise in managing the Counsel Link e-billing and matter management system with paralegal-level administrative support for attorneys focused on legal operations. Responsibilities include operational efficiency, ensuring accuracy of legal spend tracking, compliance with Outside Counsel Guidelines, and seamless workflows across teams. The position reports to the Head of Legal Operations and collaborates with a growing team.

Responsibilities
Counsel Link System Administration
Serve as primary administrator and subject matter expert for the Counsel Link platform.
Manage user access, roles, permissions, and workflow configurations.
Maintain system settings, templates, custom fields, and integrations with financial or procurement systems.
Troubleshoot issues and coordinate with Lexis Nexis support as needed.
Oversee invoice review workflows, including routing, approvals, and escalations.
Collaborate with finance to reconcile data and provide invoice and accrual reports.
Monitor budgets, accruals, and matter assignments.
Maintain data integrity and system performance.
Train users and outside counsel on system use.
Develop training materials and reference guides.
Paralegal and Administrative Support
Ensure billing guideline compliance and flag discrepancies.
Generate reports on vendor performance and billing trends.
Assist with onboarding vendors and outside counsel.
Support vendor rationalization and rate review documentation.
Prepare project trackers and materials for leadership meetings.
Support ad hoc requests and reporting in Excel or PPT.
Share knowledge with internal teams using a collaborative approach.
Act as liaison between Legal, Accounting, FP&A, and IT for Counsel Link processes.
Qualifications
Bachelor’s Degree and 1 year of experience in Financial Services, Paralegal, Legal Assistant, e-billing, or Legal Operations, OR High School Diploma/GED and 5 years of relevant experience.
Additional Qualifications
2-5 years of hands-on Counsel Link e-billing administration experience.
Strong customer service skills.
Excellent communication skills.
Comfort with numbers and financial data storytelling.
Detail-oriented, tech-savvy, organized.
Ability to multitask and prioritize.
Understanding of legal billing and outside counsel guidelines.
Strong Excel and reporting skills; analytics tools experience a plus.
PPT skills;
Tableau or Power Bi experience a plus.
Paralegal certification from an ABA-approved program is a plus but not required.
