Job Description

We are seeking a Legal Project Assistant to join the New York office. The Legal Project Assistant is responsible for providing documentation and staff support services to lawyers, paralegals, legal secretaries, and others.
KEY RELATIONSHIPS
Lawyers, administrative staff, and legal support staff
ESSENTIAL DUTIES
Review correspondence for reporting to clients
Proofread and check received communications for accuracy
Compile department related documents
Retrieve documents from court files, libraries, or other public agencies
Attend and assist with document productions
Prepare and maintain department records and reports
Prepare transmittal letters and maintain a chronological file
Prepare large mailings and assist with court filings
Prepare online searches and filings
Act as liaison between departments (office services, central records, etc.)
ADDITIONAL DUTIES
Create and maintains case files
Index and organize documents
Prepare docket and status reports
Assist with document coding analysis
Assist with hearing or trial exhibit preparation, including illustrative exhibits and proofing quotes in briefs and memoranda
Maintain status log of transcripts
Maintain corporate records, minute books, and closing books
Prepare and file annual reports and annual resolutions, including review of monthly reminder checklist
Process invoices and work with Accounting on billing and payments
Manage electronic filing and information retrieval
EXPERIENCE SKILLS REQUIRED
Excellent written and oral communication skills
Excellent organizational ability, attention to detail, analytical skills, and initiative
Ability to organize, prioritize assignments, and produce high volume of work quickly and accurately
Ability to work under pressure and meet deadlines
Knowledge of relevant legal procedures, statutes, and regulations
Able to meet obligations with confidentiality, integrity, and sensitivity
ADDITIONAL ABILITIES REQUIRED
Be personable, articulate, knowledgeable, and professional in presenting oneself in a professional setting
Willingness and ability to learn new skills
Flexibility in dealing with simultaneous projects; Excellent organizational skills
Attention to detail
Ability to function with a high level of patience, tact, and diplomacy in handling any “complaint” situations
Working knowledge of Microsoft products pertaining to the specific position, including, but not limited, to Outlook, Word, Excel, etc.
Effective communication skills, both orally and written
Strong initiative required
Ability to work independently with minimal direct supervision; Due to the cyclical nature of the industry, demonstrated ability to work varying schedules to reflect the business needs of the firm
This job operates in an office setting and is largely sedentary, requiring the routine use of a computer and other standard office equipment. The ability to open file cabinets, lift files, bend, and stand on a stool may also be required.
Compensation Salary $53,000 – $80,000
The compensation salary for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors.
