Core Objective
To manage end‑to‑end medical records workflows—requesting, retrieving, indexing, and submitting all necessary documentation using Litify, Arctrieval, and third‑party portals—while ensuring compliance, cost‑effectiveness, and seamless case preparation for SSDI/SSI hearings.
Responsibilities
1. Medical Records Request & System Maintenance
Request records via Arctrieval and portals (Ciox, Sharecare, MRO, Chartswap) or direct outreach.
Generate and send HIT/MER and SSA‑827 forms to have SSA obtain medical records, when available.
Obtain medical records in response to SSA DDS Requests.
Reopen/dispute CNRs as needed.
Apply standardized naming conventions to all incoming records.
Upload only appropriate documentation (no duplicates/corrupted pages) to ERE; confirm successful upload.
Create and maintain accurate request statuses in Litify and Arctrieval.
2. Case Preparation, Calendar Coordination & Litigation Support
Track deadlines; ensure attorneys have complete records ≥ 5 business days before hearings; notify of any gaps.
Audit dashboards and email folders; maintain detailed notes.
3. Communication and Coordination
Liaise with clinics, law firms, third parties to request records, confirm contacts, and negotiate fee waivers.
Communicate with clients regarding signatures or updates; coordinate with attorneys, case managers, and OHO.
4. Vendor & Cost Management, Reporting & Analytics
Negotiate fee schedules and service agreements with records vendors.
Track retrieval costs; produce monthly spend reports versus budget.
5. Process Improvement, Training & SOP Development
Identify inefficiencies in workflows; recommend enhancements to templates, systems, and SOPs.
Document new processes in the operational playbook and update SOP manual.
Requirements
2+ years of experience in medical records or legal administration, preferably in SSD/SSI law.
Familiarity with SSA processes, ERE systems, and medical terminology.
Strong technical skills: experience with Litify, Arctrieval, Foxit, Docrio, and third-party request portals.
Excellent verbal and written communication skills.
Exceptional attention to detail and time management.
Ability to manage high-volume requests with varying deadlines.
Professionalism in dealing with clients, medical providers, and legal professionals.
Knowledge of HIPAA compliance standards and confidentiality protocols.
Preferred Experience
Bilingual is highly preferred (Spanish/English).
Prior work in SSD/SSI legal environment.
Familiarity with SSA forms (SSA-3368, SSA-827, SSA-1696, etc.).
Experience coordinating with OHO and navigating state bar resources.
