We are seeking a highly organized and detail-oriented Office Administrator to oversee and coordinate all aspects of our office operations. This full-time role supports a smooth and efficient work environment by managing administrative systems, implementing procedures, and handling clerical and logistical tasks. From greeting visitors to liaising with vendors and managing internal events, you’ll play a key role in ensuring the office runs seamlessly. Regular hours are Monday–Friday, 9:00 am–5:00 pm, with in-person work typically required Tuesday–Thursday.
Essential Responsibilities
Front Desk Duties
Open and close the office on in-person workdays (Tuesday–Thursday).
Answer and direct incoming calls and voicemails.
Greet visitors and manage mail/deliveries (incoming and outgoing).
Administrative Support
Act as the primary liaison with building management and vendors, coordinating maintenance requests as needed.
Communicate office updates, safety notices, and other key information to staff.
Assist with data entry tasks, such as event/course registrations.
Manage the internal meeting and event calendar, ensuring accurate and timely updates.
Coordinate catering, parking, security, and other logistics for in-office meetings and events.
Serve as the event registrar, managing inquiries received through the registrations inbox.
Provide administrative support for the Annual Awards and Elections Committees.
Compile and maintain verdict spreadsheet data for the Trial Lawyer of the Year committee.
Track attendance for Board of Governors meetings and provide support for committee appointments.
Assist with department-specific programs, including awards, mentorship, affiliate partnerships, and PAC initiatives.
Maintain office supply inventory and place orders as needed.
Organize office functions, including monthly staff lunches and the annual holiday event.
Keep staff documents and vendor contact information up-to-date.
Other Functions
Support the organization’s operations by attending staff meetings, participating in task forces, and pursuing professional development opportunities.
Contribute to projects and initiatives as needed to support CAALA’s success.
Qualifications
Education
High school diploma or equivalent required; Bachelor’s degree preferred.
Experience
At least 4 years of office administration experience, including phone system coverage.
