Role Purpose
The Corporate Administrator administers a portfolio of client entities and is responsible for the quality, accuracy and timeliness of the service those clients receive. The role combines day-to-day company and trust administration with responsibility for ensuring that each entity in the portfolio meets its statutory and regulatory obligations. It is a client-facing position in which sound judgement, attention to detail and clear communication matter as much as technical knowledge.
Key Responsibilities
Portfolio administration
- Administer a portfolio of client entities, including Global Business Companies, Authorised Companies and Trusts, acting as a day-to-day point of contact for clients and ensuring services are delivered within agreed timeframes.
- Perform company and trust administration duties, including secretarial functions, convening and preparing for meetings, drafting minutes and resolutions, and maintaining statutory registers and records.
- Attend to regulators’ periodic reviews and information requests, and ensure all statutory and regulatory filings are made within prescribed deadlines.
- Maintain complete, accurate and current client, entity and transaction records on the Company’s systems.
Compliance and risk
- Ensure the portfolio remains compliant with applicable statutory and regulatory obligations at all times, escalating issues promptly where they arise.
- Support client due diligence and periodic review processes, ensuring KYC records are current and complete.
- Familiarise with and adhere to the Company’s internal policies, procedures and controls.
Transactions and banking
- Prepare, execute and monitor bank transfers, payments and foreign exchange transactions in accordance with client instructions and internal authorisation procedures.
- Prepare client information packs and account opening documentation, and liaise with banks through to account activation.
Stakeholder liaison
- Liaise with external parties including bankers, auditors, lawyers, regulators and other service providers.
- Liaise with relevant authorities in respect of permits, licences and other statutory documentation.
- Work closely with internal departments, including Finance, Risk & Compliance and Client Accounting, to support client activity effectively and without delay.
- Communicate clearly and professionally with clients and with colleagues at all levels of the organisation.
Administration and self-management
- Respond to and follow up on client correspondence, including letters, emails and telephone calls.
- Maintain accurate records of client enquiries and keep task lists current.
- Record time daily and accurately on the Company’s time management system.
- Undertake such other duties appropriate to the role as may reasonably be required from time to time.
Qualifications and Experience
- A minimum of two years’ experience in the global business sector, in a company or trust administration role.
- A degree in Law, Management, Business Administration or a related discipline; or completion, or substantial completion, of a professional qualification such as ICSA/CGI, ACCA or STEP.
- Working knowledge of the Companies Act 2001, the Financial Services Act 2007 and the Trusts Act 2001, and of the FSC’s regulatory framework.
- Proficiency in Microsoft Word and Excel.
