POSITION SUMMARY

Hired is seeking a part-time temporary Intake Coordinator responsible for creating a welcoming environment for all guests, participants and families of Hired. Assess applications and supporting documents to determine initial eligibility. The successful candidate will be an empathetic listener and have excellent problem-solving, negotiation, communication skills.

This position works 10 hours per week in a hybrid work environment.

EXAMPLE ACTIVITIES

Intake

Welcome potential participants utilizing exceptional customer service skills.
Coordinate and facilitate all inquiries regarding programs and services.
Conduct or assist in group or one-on-one program information/overviews for potential participants or
Mass Layoff Projects. Manage referrals and screen to make sure participants meet eligibility guidelines.
This requires working knowledge of eligibility guidelines for all programs.
Assist participants with enrollment document process, including distributing forms, completion, and submission.
Refer individuals to other programs or community agencies when Hired’s services are not appropriate.
Assign participants to appropriate program based on eligibility criteria.
Assign participants to appropriate Employment Counselor based on counselor expertise and case load.
Contact managers for determination on case assignments, as necessary.
Facilitate co-enrollment with other Hired programs.
Facilitate interpreter services as necessary.
Facilitate communication among all team members for coordinated services.

Reports/Data Entry

Perform data entry in Microsoft Office and program specific computerized record keeping and reporting systems, including but not limited to Excel spreadsheets, Workforce One and MAXIS (state
record keeping systems).
Access Maxis to determine monthly participant SNAP E&T eligibility status.
Maintain tracking system for contract requirements, specifically live contacts.
Ensure and maintain data accuracy across record systems.
Maintain tracking system for referral and counselor assignments.
Case note participant activities when appropriate.
Maintain compliance with program contract requirements and program policies

REQUIRED SKILLS

Two (2) to Three (3) years of relevant experience is required. Relevant experience for example could be customer service, sales or call center experience.
Experience and/or desire to work effectively with persons of all cultures, economic and educational backgrounds.
Advanced computer proficiency in Microsoft Office Suit, ability to perform accurate data entry in multiple record keeping systems.
Strong analytical, prioritization and problem-solving abilities
Skill in written and oral communication
Ability to work effectively with others.
Efficient organizational and planning skills
Ability and willingness to respond constructively to rapid change.
Ability to work independently with excellent attention to detail.
Ability to maintain confidentiality regarding client and program related information.

PHYSICAL REQUIREMENTS

Able to sit for extended periods, perform computer and data entry functions. Additional physical requirements that occur may not be listed above but are inherent in performing the position’s essential functions.

WORK ENVIRONMENT

May vary, semi-sedentary involving office and fieldwork. Use of general office equipment to include telephone, computer, copier, fax, and other office equipment. Maintain regular business hours daily.
