Administrative Assistant for Law Office
-Billing, Bookkeeping and/or Accounting Experience Preferred-
In this administrative role, we seek an individual that will be responsible for various tasks and functions, and who possesses effective organizational and time management skills, and a strong ability to multi-task.
The individual should be detail-oriented and skillful at paying close attention to detail.
In this role, the individual will be using a billing application called Practice Panther to assist with preparing and sending invoices to clients.
Tasks related to billing and/or administrative functions:
· Entering attorney time sheets
· Reading and reviewing daily entries entered by attorneys
· Editing time entries – revising language and numerical corrections
· Opening new case matters and/or new clients
· Entering expenses to be billed to clients
· Generating and printing invoices
· Distributing client invoices to attorneys for review after each billing period
· Finalizing invoices to send to clients
· Emailing invoices to clients
· Organizing expenses and disbursements to attach to invoices
· Entering/updating rates and fees for each client on an annual basis
· Creating reports for attorneys and/or the Managing Partner
· Preparing monthly reports and special reports, as needed
· Tracking expenses to be entered into Practice Panther and maintaining and updating a master vendor list in Excel
· Receiving and responding to client inquiries
· Overseeing inventory and ordering office supplies for our 2 office locations and/or responsible for making other office purchases
· Coordinating and arranging hotel and flight accommodations (as needed basis)
· Assisting with registering attorneys for office events and dinners
· Any other tasks, as directed
