Position Overview:
We are looking for a detail-oriented and organized Contract Administration Specialist to join our team. In this role, you will be responsible for managing the full lifecycle of contracts across our VAR and IT services business, ensuring compliance, mitigating risk, and supporting smooth business operations. You will work closely with Sales, Finance, Legal, and Operations teams to facilitate timely and accurate contract execution.
Responsibilities:
- Manage end-to-end contract lifecycle including drafting, reviewing, negotiating, executing, and renewing contracts with customers, vendors, and partners
- Maintain and organize a centralized contract repository, ensuring all documents are current and accessible
- Review contracts for accuracy, completeness, and compliance with company policies and applicable regulations
- Coordinate with Sales, Finance, and Legal teams to resolve contract discrepancies and ensure alignment prior to execution
- Track key contract milestones, expiration dates, and renewal deadlines, proactively communicating with stakeholders
- Support vendor and partner agreement management, including OEM, distributor, and reseller agreements
- Assist in the negotiation of contract terms and conditions in collaboration with Legal counsel
- Ensure proper authorization and approval workflows are followed for all contracts
- Identify and flag contractual risks or non-standard terms for review by appropriate stakeholders
- Maintain compliance with company contract policies, procedures, and controls
- Support audits and reporting related to contract data and obligations
- Continuously improve contract administration processes and templates
Qualifications:
- 5+ years of experience in contract administration, preferably in a VAR, IT services, or technology environment
- Familiarity with common IT industry agreements including reseller agreements, MSAs, SOWs, NDAs, and SLAs
- Strong attention to detail with excellent organizational and time management skills
- Proficiency with contract management software and Microsoft Office Suite
- Ability to interpret contract language and identify key terms and risks
- Strong communication and interpersonal skills with the ability to work cross-functionally
- Paralegal certificate or bachelor's degree in Business, Legal Studies, or a related field preferred
- Experience with ERP or CRM systems (e.g. NetSuite, Salesforce) is a plus
