We are looking for a Contracts Administrator to manage and administer all contractual and commercial documentation throughout the project lifecycle. The role is responsible for preparing and managing contracts, drafting contractual correspondence, administering subcontract agreements, issuing notices and letters, monitoring contractual obligations, and supporting project teams in ensuring compliance with contract requirements.

Key Responsibilities:

1. Contract Administration

  • Prepare, review, and administer contracts and subcontract agreements.
  • Ensure contractual documents are properly maintained and updated.
  • Monitor contractual obligations, deliverables, and key milestones.
  • Support project teams in contract interpretation and compliance.

2. Contractual Correspondence

  • Draft, review, and issue contractual letters, notices, and formal communications.
  • Maintain records of all contractual correspondence and project documentation.
  • Ensure timely issuance of notices in accordance with contract requirements.
  • Coordinate responses to client, consultant, and subcontractor communications.

3. Subcontract Administration

  • Prepare and administer subcontract agreements and amendments.
  • Monitor subcontractor contractual compliance and documentation.
  • Coordinate with Procurement and Project teams throughout the subcontract lifecycle.
  • Support the evaluation of subcontractor claims and contractual matters.

4. Claims, Variations, and Commercial Support

  • Assist in the preparation and evaluation of variation orders and contractual claims.
  • Support the review of payment applications and commercial documentation.
  • Coordinate with Cost Control and Quantity Surveying teams on contractual matters.
  • Maintain records supporting claims, extensions of time, and commercial correspondence.

5. Compliance and Risk Management

  • Ensure compliance with contractual terms, company procedures, and project requirements.
  • Identify contractual risks and support mitigation measures.
  • Monitor deadlines for notices, submissions, and contractual deliverables.

6. Reporting and Coordination

  • Prepare contract status reports and maintain contract registers.
  • Coordinate with Project Management, Planning, Cost Control, Procurement, and Legal teams.
  • Support management with contractual updates and project documentation.

Qualifications:

  • Bachelor’s degree in civil engineering.
  • Minimum 7–9 years of experience in contract administration within building construction projects.

Technical Knowledge, Skills & Abilities Required:

  • Strong knowledge of construction contracts and subcontract administration.
  • Experience preparing contractual letters, notices, subcontract agreements, and commercial correspondence.
  • Familiarity with variation orders, claims, extensions of time (EOT), and contractual documentation.
  • Good understanding of FIDIC or other standard forms of construction contracts.
  • Proficiency in MS Office; experience with document management systems is an advantage.
  • Strong communication, negotiation, organizational, and analytical skills.
  • Ability to manage multiple contractual matters while meeting project deadlines.
