Administrative Assistant Job Description
Essential Job Functions
Answer telephones, greet clients, and provide information to clients.
Open new matters and time entry in carpe diem
Prepare and process expense reports
Maintain project files and keep all matters updated and current.
Perform research and support activities to assist attorneys.
Use PowerPoint, MS Word, Excel, TOC/TOA’s and other programs in preparation of correspondence, documents and/or presentations; efficiently creates charts, graphs, tables, and text slides; responsible for formatting consistency and accuracy on time-sensitive, high-profile documents.
Establish and maintain filing systems; classifies, sorts, and files correspondence, records, media clips and other documents.
Use discretion and judgment when screening visitors and telephone calls, schedules appointments and travel, and organizes workload to meet established priorities
Handle confidential information professionally and consistent with legal and ethical policies
Administrative duties including creating and preparing routine materials, proofreading, verifying, and editing all materials for extreme accuracy and clarity
Coordinate client billing process – send bills out to clients, act as first contact between client and billing dept.
Creating, revising, comparing, converting and cleaning up legal documents, adhering to Firm styles and guidelines
Ability to work with complex document markups, redlining, Track Changes and instructions in a timely manner
Creating and revising table of authorities and table of contents
Minimum Qualifications
Bachelors Degree required
Minimum 1 year of experience in an administrative assistance role, legal administrative experience preferred
Excellent computer skills and software aptitude, including advanced knowledge of Microsoft Office 2024 (Word, Excel, PowerPoint, Outlook), PDF Converter Enterprise
Excellent English language skills, grammar, spelling and syntax
Outstanding organizational, interpersonal, and administrative skills
Excellent attention to detail with the ability to multi-task
Excellent telephone, writing, and proofreading skills
Must be self-motivated and able to meet deadlines under pressure
Must have the ability to work as part of a team, as well as to work independently
Must be willing to work over-time as needed
Job Type: Full-time
Pay: $50,000.00 – $60,000.00 per year
