Position Summary
Vanzbon Group is looking for a Company Secretarial & Client Operations Executive to support our Malaysia office with day-to-day corporate services delivery, client coordination, and compliance administration.
This is a hands-on role focused on supporting company incorporation, routine corporate changes, client onboarding, statutory follow-up, and documentation management in a structured and professional environment.
The role is suitable for candidates with some experience in company secretarial support, corporate administration, compliance operations, or related client service roles.
Key Responsibilities
- Support the preparation and coordination of documents for company incorporation, routine changes, and corporate maintenance matters in Malaysia.
- Assist with statutory filing preparation and submission support for matters related to SSM and other relevant authorities, under the guidance of the responsible team lead or licensed professional where applicable.
- Maintain and organise company records, client files, statutory documents, resolutions, registers, and related corporate documentation.
- Support client onboarding by collecting required documents, following up on outstanding items, and keeping records complete and up to date.
- Track filing schedules, annual deadlines, and routine compliance calendars to support timely completion of obligations.
- Coordinate with clients, internal teams, and external service providers on documentation, progress updates, and routine follow-up matters.
- Prepare and maintain internal checklists, status trackers, and basic delivery records for ongoing projects.
- Provide operational and administrative support to the Malaysia corporate services team in daily client delivery work.
Qualifications
- Diploma or Bachelor’s degree in Business, Law, Accounting, Finance, or a related field.
- Around 1–3 years of relevant experience in company secretarial support, corporate administration, client operations, compliance administration, or related roles.
- Familiarity with company incorporation, statutory documentation, and client file management in Malaysiais an advantage.
- Basic understanding of corporate compliance, company secretarial processes, or routine business support workflows is preferred.
- Good written and verbal communication skills in English and Bahasa Malaysia.
- Familiarity with Microsoft Office / Google Workspace and comfort working with online systems and digital records.
- Strong attention to detail, documentation discipline, and follow-up ability.
- Legally eligible to work in Malaysia.
