Job Description

The Legal Assistant’s primary role is to assist attorneys with the day-to-day matters including initial intake and scheduling of paid consults, payment systems including retainer replenishments and collections, file opening and closing procedures, receipt of all filed pleadings, file management (both digital and hard files), and first point of contact for existing client communications (phone, email, & text).

Duties & Responsibilities:

Assist lawyers on day-to-day tasks relating to law practice.

Administrative duties include, but are not limited to, coordinating meetings, scheduling, answering and directing telephone calls, maintaining and organizing electronic case files, receiving and sorting incoming and outgoing mail, receiving and organizing electronic service of Court pleadings, and updating files with case status and information.

Scheduling of hearing, depositions, mediations, conferences, consultations, meetings, calls, remote proceedings, and other events.

Compiling and organizing documents, preparing binders and/or folders.

Gathering and organizing records, documents, and other materials.

Calendaring and tracking deadlines and scheduled events, including Court appearances, and ensuring legal documents are filed in a timely manner.

aintain strict confidentiality of organizational and client information.

Communicate with prospective clients and existing clients in-person, over the phone, and via email.

Proofread and file/send legal documents, such as Motions, Petitions, Discovery, or financial affidavits.

Utilize the firm’s cloud-based Case Management system to track case progress and maintain case related materials.

Intake and manage new prospective client leads for scheduling of paid consultations with the assigned attorney.

Organize, track and process client payments and costs/expenses to third party vendors, including collection of overdue or unpaid accounts and client escrow replenishment.

Requirements, Competencies and Certifications:

Strong verbal and written communication skills.

Highly motivated and conscientious.

Advanced skill level with Microsoft Office software, excellent typing and organizational skills.

Ability to work independently AND in a team environment.

Ability to multi-task in a fast-paced environment.

Minimum Education & Preferred Experience:

Education Requirements

High School Diploma or certification as a legal assistant/paralegal required; Associates degree or Bachelor’s degree preferred (Focus in Legal Studies, Legal Support Studies, or Paralegal Studies preferred.)

Preferred Experience

5 years of experience as a legal assistant or legal secretary, with general civil litigation background.

Knowledge of court procedures including, but not limited to Discovery Rules, Florida E-Filing (ECF), and procedures/rules.

Microsoft Office & Cloud-based Lead Management & File Management Systems.

Experience with Trial/Hearing/Mediation preparation.

Experience working with multiple lawyers simultaneously.

Spanish speaking is helpful but not required.
