Summary
We are seeking an experienced commercial real estate paralegal to join our dynamic team. You will be the point person and leader of the workflow for the leasing function. You will have a significant impact by contributing to the successful shaping and closing of transactions. You will be responsible for assisting with office and retail leasing and commercial contracts, including preparing and reviewing contracts, leases, and other real estate transaction documents.
You must be comfortable working across internal departments and external stakeholders, including attorneys, real estate partners, business owners, and investors. Discretion and confidentiality are essential.
Responsibilities
Drafting:
Draft or assist in drafting proposals, letters of intent, lease documents, legal notices, storage agreements, license agreements, telecommunication agreements, and all formal Landlord notices, requests, or approvals.
Review:
Conduct lease reviews, assist with tenant estoppels related to property transactions, review and redline proposals and LOIs, and review tenant lease documents as requested.
Processing:
Assist with tenant option notices and renewals, track encumbrances, update VTS and Prophia systems, and monitor contract execution using tools like Docu Sign.
Records Maintenance:
Organize and maintain transaction files, lease abstracts, standard lease forms, amendments, templates, and lease exhibits. Ensure accurate lease data and tenant contacts.
Tracking:
Track key dates from initial engagement to lease execution, monitor leasing activity, expiration dates, and deal statuses, and prepare closing checklists and reports.
Internal/External Communication:
Communicate lease activity, distribute documents, respond to inquiries, aid in tenant tours, and assist with due diligence.
Research:
Conduct legal research on real estate laws and regulations periodically.
Skills + Abilities
Technology:
Proficient with Microsoft Office (Word, Outlook, Excel); experience with Yardi or similar software is a plus.
Attributes:
Ability to meet deadlines, strong organizational skills, excellent communication, problem-solving skills, proactive attitude, and ability to manage multiple projects.
Minimum Qualifications
Associate’s or paralegal certificate (preferred)
3-5 years of paralegal or similar experience, preferably in commercial real estate
