Job Overview
The Administrative Coordinator provides administrative and coordination support for the office, resources, and field service (projects). He supports the development and growth of the company’s programs and business lines. It supports the customer service area, as well as different administrative areas of the company.
Main responsibilities:
Perform office administration tasks.
Process shipping and receipts, assist in travel arrangements for resources.
Assist customers when they call with service-related questions and call back if necessary.
Participate in candidate recruitment activities with the human resources department (publish job offers on appropriate platforms, collect and review resumes, coordinate interviews and selection tests, assist in the hiring process, facilitate onboarding of new employees, among others).
Provide information on internal policies and procedures
Coordinate the signing of necessary documents and forms
Maintain up-to-date employee records
Support in the management of employment-related documentation (contracts, evaluations, among others.)
Enter project data into spreadsheets for metrics, create reports, and distribute them to selected stakeholders.
Develop, monitor and/or update internal documentation (policies, procedures, forms, memos, metrics, minutes, project reports, other data processing tools, among others)
Create corporate and project presentations
Assist with financial accounting.
Maintain inventory of office supplies, resources, and marketing.
Provide support for office maintenance.
Create project folders and proposal packages.
Coordinate the allocation of resources, time, and place between different projects and schedules.
Coordinate activities and meetings
Deliver biweekly reports of achievements.
Collaborate in identifying training needs
Coordinate professional development programs
Collaborate on specific assigned projects.
Participate in the implementation of new policies and procedures.
Prepare and distribute internal communications.
Development and internal analysis of metrics as assigned.
Provide support to the executive team and the administration and project manager.
Assist in the development of marketing content
Other tasks and responsibilities required by the company.
General requirements:
Fluent in Spanish and English (spoken and written).
Proficient in Microsoft Office 365 (Teams, Share Point, Outlook, Excel, Word, Power Point).
Experience with Canva.
Organizational skills, attention to detail, ability to manage multiple tasks, set priorities, and be able to meet deadlines.
Excellent verbal and written communication skills.
Experience in project coordination (preferred).
Education Requirements:
Bachelor’s degree in business administration, Secretarial Science, or a related field.
A combination of education and relevant experience can be considered.
Experience Requirements:
2+ years as a Coordination Assistant, Project Coordinator or Document Control.
Proven experience in highly confidential environments.
Experience in highly regulated industries, such as pharmaceuticals.
Physical requirements
Ability to sit for long periods of time.
Light physical activity may be required occasionally.
You should be able to visit field locations as needed.
Must be able to use personal protective equipment (PPE) when required.
Ability to perform in diverse industrial environments.
