Job Summary
The Hearing Officer Assistant plays a crucial role in the case processing of civil family law matters and protective orders. Applicants must possess proficiency in Microsoft Word and Office. The applicant should be proficient in business writing with excellent speed, grammar, should be proficient in the use of various types of office equipment. Excellent organizational and record keeping ability are required.
Duties
Answer/screen phone calls, placate angry/upset litigants, both in person and over the phone.
Handle all incoming and outgoing mail.
Coordinate with Judicial Assistants to schedule and calendar Hearing Officer Conferences.
Assemble and file records for all scheduled hearings for case readiness.
Maintain calendar: meetings, seminars, court dates.
Prepare documents, court orders, and schedules.
Copy and fax materials as requested by Hearing Officer.
Maintain filing system for Hearing Officer conferences, protective orders, and child support.
Enter protective orders into computerized database.
Conduct prior record checks on protective orders in State’s database.
Prepare expense vouchers for travel and maintain CLE records for hearing officers.
Coordinate scheduling of conferences with attorneys and other partner agencies.
Maintain computer statistical information for all hearing officer conferences.
Attend court sessions with your assigned hearing officer and insure courtroom setup.
Prepare summaries of each case for the Hearing Officer.
Any other duties as requested by a Hearing Officer or Judge.
