Performs support functions for the Clerk of Court. This position will be engaged in the processing of Court matters with responsibility for publishing Rosters, as well as processing, scanning, and recording traditional filings by Pro Se parties, assisting the judges, typing other court documents, and assisting the public with questions and direction.
ESSENTIAL JOB FUNCTIONS
Prepares Common Pleas Court Dockets and forwards to appropriate staff, security, and judge.
Type and publish Jury and Non-Jury Trial Rosters and Motion Dockets weekly. Responsible for mailing Pro Sc Plaintiffs/Defendants.
Compile and publish Status Conference Rosters when needed.
Move cases to appropriate docket and delete cases that arc disposed from rosters and close rosters.
Set docket dates in CMS.
Correspond with judges about the status of cases and the scheduling of cases. Pass along information to appropriate staff.
Have updated rosters ready and assist judge if needed; pull any needed documents for trial.
Conducts record searches and compiles and releases data from records in response to inquiries received by telephone and by mail.
Check Subpoena for correct infom1ation and sign and emboss for Clerk.
Process all e-filed orders that all judges sign. Notify attorneys to correct orders.
Assist attorneys as necessary. Correspond by phone or email the status of their cases and the status of proposed orders filed.
Provide visiting judges with necessary information such as, courtroom, chamber assignments, visitor passes and parking spot assignments.
Helps retrieve record retention files for other departmental staff, title searchers and the public.
Processes c-filed common pleas documents and pleadings filed by Pro Se Litigants.
Routes Proposed Orders to the correct person for signature.
Return improperly filed documents.
Assist customers by telephone or in person.
Prepare six-month court rosters with courtroom assignments.
Manage courtroom calendar for trials.
Schedules and maintains calendar of appointments, meetings, and travel itineraries; coordinates related arrangements.
Performs other related job duties as assigned.
ADR COORDINATOR
Appoint Mediators and send out ADR Notices to any cases that are 210 days old that have not met ADR requirements.
Send out ADR Sanction letters for cases that have not been mediated and have been filed for
more than 300 days.
Schedule and maintain Sanction Rosters when requested by the Administrative Judge.
Send ADR/Non-Servicc letters to attorneys in cases that have been filed more than 120 days with no service.
Send ADR/Dom1ant file notices to attorneys in cases that have been served and no Answer has
been filed 60 days after service.
Courtroom training:
Attend Motion Roster and Sanction Roster hearings and prepare Form 4 Orders for the Judge when requested.
Attend virtual hearings via Webex.
Qualifications
KNOWLEDGE, SKILLS, AND ABILITIES • Knowledge of legal documents and interpretation of orders. • Knowledge of and understanding of specific department policies and procedures as well as other departments’ functions. • Skill in handling or using machines, tools or equipment requiring brief instruction or experience, such as computers for data entry, fax machines, copiers, telephones, or similar equipment; may service office machines, including adding paper and changing toner. • Skill in performing skilled work involving rules/systems with almost constant problem-solving. • Skill in using addition, subtraction, multiplication, and division; and/or calculating ratios, rates and percentages. • Skill in reading, interpreting, and understanding various court documents; reading technical instructions, procedures, manuals, and charts to solve practical problems; composing routine reports, specialized reports, forms and business letters with proper format; and employing compound sentences using normal grammar and word form. • Ability to maintain confidentiality of all information seen, read, heard, or known. • Ability to maintain a professional demeanor when dealing with public and staff. • Ability to take control of situations in a responsible manner. • Ability to supervise or lead others by determining work procedures, assigning duties, maintaining harmonious relations, and promoting efficiency. PHYSICAL DEMANDS The work is a combination of sedentary and active work: Exerting up to 20 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
