Class Summary:

Under general supervision, plans, prepares, and coordinates the court docket, and performs other administrative duties that support court operations.

Essential Duties and Responsibilities:

Greets, interacts, and communicates with the public in a professional manner; answers questions, provides information, or refers inquiry to appropriate department personnel. Answers multiple-line telephone; answers procedural questions, directs calls, or takes and relays accurate messages, as appropriate.

Plans and orders, at the proper time, the summons of jurors adequate for the court keeping in mind both economy and efficiency based on each court’s schedule and docket.

Prepares and maintains criminal and civil court dockets. Ensures all docket information is current and accurate; distributes dockets to appropriate parties. Plan and coordinate juror security with the court bailiff during the trial of these criminal cases.

Provides information to attorneys, defendants, bonds people, Sheriff’s Department, Probation Department, County or District Clerk’s office, and the general public. Coordinates the judges’ schedules on cases with the other court administrators and individiuals.

Processes various court orders including commitment, extension, occupational driver’s license, and appointed attorney.

Regularly checks capias and arraignment lists for accuracy and status.

Reviews jail list to identify habitual violators with pending cases.

Delivers case files, bonds, and other paperwork to County Clerk’s office and other departments.

Files disposition slips and performs related secretarial duties developing procedures to merge documents to expedite routine correspondence such as pretrial notices, transmittal letters and juror correspondence.

Reviews and processes records for probate cases and bond forfeitures also supervising the record keeping of all court functions and dockets as it relates the cases.

Performs daily secretarial and office managerial duties; and prepare periodic reports as requested by judge, court, and other departments.

Provides notary services to the public also replies to inquiries from the public on court business and makes arrangements, as requested, for media representatives who attend court trials and conferences.

Opens, sorts, and distributes mail.

Attends meetings and training sessions; expedites all other non-routine administrative matters as they arise and other various duties.

Knowledge, Abilities, and Skills:

Knowledge of general office operations and records maintenance; knowledge of basic legal terminology; knowledge of the operation of personal computers and associated software.

Ability to plan, organize, and perform work responsibilities in a timely and accurate manner; ability to work independently and meet regular deadlines; ability to learn and perform clerical and administrative duties related to court scheduling and record keeping; ability to work effectively with staff, citizens, County officials, and others.

Skill in oral communication and interpersonal relations.

Physical Requirements and Work Setting:

Works in a well-lighted, air-conditioned environment; prolonged periods of sitting and periodic walking, standing, bending, and reaching; occasional lifting up to 15 lbs; some positions subject to noisy work environment; visual acuity, hearing ability, and manual dexterity required.

Education and/or Experience Required:

Three years of general office, secretarial, or equivalent experience; OR, two years of experience as a court clerk, legal secretary, other position providing a knowledge of basic legal terminology and public records maintenance. Minimum of 4 years working in the courts and experience with Odyssey is desirable.
