Job Overview
Reporting to the General Manager, the post holder will be key in supporting the Divisional through delivery of key objectives. The post holder will be required to liaise with and support Senior Managers across the Division and external parties to progress projects. The post holder will also undertake general business and administrative duties as required. Working closely with senior managers across the division, the successful candidate will primarily provide support to the Division as well as Directorate teams.
The post holder will be heavily involved in planning and implementing operational initiatives in line with local and national strategies and provide project support to key service improvement projects within the division, producing appropriate documentation and reports as required. They will work internal and external stakeholders to develop any necessary tools to improve processes and services across the directorates and division.
The post holder will be expected to work flexibly in order to ensure the smooth running of the Business Support function.
Main duties of the job
- Use excellent interpersonal and communication skills in all verbal and written interactions and be able to negotiate and to use persuasive skills as required. This includes maintaining effective working relationships with all levels of the division from the clinical director to directorate managers.
- To communicate business sensitive information diplomatically and professionally.
- Receive all forms of communication, ensuring they are dealt with appropriately and in a timely manner.
- Draft responses to correspondence as required by the Senior Leadership Team.
- Regular engagement with external agencies
- Organise Divisional team to ensure key business elements are completed timely, i.e. Divisional Assurance, Directorate Assurance, annual reviews.
- To use tact and persuasive skills to encourage stakeholders to follow courses of action in order to improve processes and services across the directorate.
- Manage rota staff as required including task delegation.
- Development and maintenance of divisional process documents, including the creation and review
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.
This post is secondment for 12 months due to – meet the needs of the service
