We’re a boutique estate planning and probate law firm that prides itself on providing a personal, thoughtful experience for our clients—especially during times that can be emotional and high-stakes. We’re growing, and we’re looking for someone to be the first point of contact for potential clients and help guide them with confidence and compassion.
About the Role:
The Intake Coordinator / Client Experience Specialist is the first voice and face a potential client interacts with. Your job is to help every caller feel welcomed, supported, and confident they’ve come to the right place. You’ll manage incoming inquiries, schedule consultations, and follow up with care—all while keeping things organized behind the scenes.
This isn’t a legal job—it’s a people job. The right person will have excellent instincts, a warm and professional presence, and the ability to juggle multiple moving pieces without letting things fall through the cracks.
What You’ll Do:
Respond promptly and kindly to phone calls, emails, and online inquiries
Gather basic information from potential clients and schedule attorney consultations
Follow up after meetings to answer questions and guide the onboarding process
Keep all communication professional, clear, and people-first
Use our client management software to track leads and manage scheduling
Collaborate with our attorneys and support team to ensure a smooth, consistent client experience
Who You Are:
You’ve worked full-time for at least 2–3 years in a client-facing role
You have experience in retail, hospitality, or customer service and know how to connect with all kinds of people
You’re proactive and resourceful—you don’t wait to be told what to do
You’re organized, detail-oriented, and a strong follow-through is second nature
You communicate with warmth and professionalism, even under pressure
You’re tech-savvy and comfortable using tools like email, calendars, CRMs, and scheduling systems
