Position Overview
Our law firm is seeking a Calendar Compliance Coordinator to oversee and manage critical calendar deadlines and statute of limitations tracking. This position will be responsible for ensuring new client intakes are properly entered into our case management system (CasePeer) and accompanying spreadsheets for redundancy and backup. The ideal candidate will have a keen eye for detail, strong organizational skills, and the ability to communicate effectively in both English and Spanish.
Key Responsibilities
Calendar & Deadline Management: Coordinate and maintain the firm’s calendar by scheduling important court and administrative deadlines, ensuring all statutes of limitations are accurately tracked.
Client Intake Coordination: Manage new client intakes by entering data into CasePeer and associated spreadsheets; confirm accuracy and completeness of client information.
Data Integrity & Redundancy: Develop and maintain processes that ensure all critical data is backed up and mirrored across multiple platforms.
Communication & Collaboration: Serve as a primary point of contact for attorneys and staff regarding upcoming deadlines, appointments, and case updates.
Document Management: Handle and review documents containing medical and/or billing information; assist in organizing records for legal case needs.
Project Management: Prioritize, plan, and execute multiple tasks efficiently in a fast-paced legal environment.
Administrative Support: Assist with general administrative duties, including scheduling meetings, typing documents (40+ WPM), and responding to client inquiries.
Qualifications
Experience: Minimum 2 years of office experience required, preferably in a law firm or medical office setting.
Technical Skills: Proficient in Google Calendar, Google Docs, and data entry; familiarity with CasePeer or similar case management software preferred.
Language Skills: Must be fluent in both English and Spanish (written and verbal).
Organizational Skills: Exceptional attention to detail, ability to multitask, and maintain accuracy in a fast-paced environment.
Professionalism: Professional appearance, strong work ethic, and excellent communication/customer service skills.
Typing: Ability to type at least 40 words per minute.
