Job Summary

The Office is seeking an Office and Administrative Specialist Senior (OASS) to provide clerical services to division managers, attorneys, legal assistants, and legal secretaries of the Attorney General’s Office.

A successful candidate in this position will be able to:

Act as a witness coordinator, notifying witnesses of when and where they need to appear in court for trial;
Train and mentor other staff to ensure an efficient process for incoming communications, court calendaring, opening and closing files;
Handle expungements and work collaboratively with that team; and
Foster a welcoming and inclusive work environment.

After completion of onboarding and training the position may be eligible for a hybrid work environment (combination of in-office and telework).

Qualifications

Minimum Qualifications
Knowledge of legal terminology sufficient to comprehend and draft a variety of legal documents and maintain files/records
Skill in:
Customer service sufficient to convey complicated information in an understandable manner as a resource for outside agencies, for clients, and for co-workers
Database management sufficient to set up and run basic queries, review and analyze data, and identify problem areas
Training and guiding the work assignments of state employees in their work area(s)
Word processing sufficient to prepare, edit, and finalize emails, memos, reports, and/or other documents and types of written communication that are grammatically correct, in proper format, and free of spelling errors
Ability to:
Accurately input, verify, and edit electronic data
Plan, schedule, assign, review, evaluate, coach, or report on the work activities of employees
Preferred Qualifications
Intermediate to advanced proficiency in Microsoft products such as Word, Excel, Access, Outlook, and Planner
Skill in:
Directing the work activities of state employees to ensure that standards, deadlines, and procedures/processes are met
Using spreadsheet applications to enter, compile, store, and retrieve data
Planning and organization sufficient to establish priorities, allocate time and resources, plan workloads, and handle multiple assignments effectively
Ability to:
Maintain the confidentiality of private information according to laws, rules, policies and procedures
Provide training to others within the work unit on program policies, procedures, and standards of administrative materials
Physical Requirements
Ability to:
Work in a seated or standing position for extended periods of time
Collect and deliver items from one location to another
Use a keyboard for extended periods of time which may include repetitive motion
