Deputy Bailiff Administrative Assistant I
POSITION SUMMARY
The Administrative Assistant I will assist and support the Director and the Coordinator of Pretrial Services with clerical and administrative functions in the department. The Administrative Assistant I will also provide clerical support to the other staff in the department.
Examples of Duties
ESSENTIAL RESPONSIBILITIES
Maintain files and distribute documents.
Research case dispositions.
Track reports going to and returning from the Court.
Maintain confidentiality of the material processed.
Answering and routing phone calls and other inquiries to the appropriate individual.
Responsible for all Court payroll and timekeeping functions with regard to the Pretrial Services Department. Distribute paychecks bi-weekly.
Maintain an inventory of all office supplies, track expenditures, and prepare quarterly orders for Just-in-Time office supplies.
Assist Administrative Services by updating personal information for employee files.
Orientate and train new staff on various procedures and operations within department/Court. Submit requests for computer logons/access.
Assist Director and Coordinator with special projects. Some independent judgment is required in carrying out assignments.
Provide quality service that continuously improves, that meets or exceeds public expectations, and that ensures all are treated with courtesy, dignity, and respect

Minimum Qualifications
KNOWLEDGE, QUALIFICATIONS, SKILLS and ABILITIES

Good written and verbal communication skills.
Good math skills
Proficiency in the use of Microsoft Office applications, including Word, Excel, Access and Outlook.
Demonstrate dedication to providing excellent customer service in person and on the telephone.
Ability to work as part of a team in meeting departmental and organizational goals.
Ability to prioritize, organize and meet deadlines.
Ability to operate general office equipment.
EDUCATION and/or EXPERIENCE
High School graduate or equivalent with some experience as an Administrative Assistant preferred.
Ability to type at least 60 wpm with minimal errors.
