Job Summary
The Legal Administrative Assistant plays a vital role in supporting the efficient delivery of legal services by providing administrative and secretarial assistance to legal professionals, managing specialized clerical tasks, and collaborating effectively within a team environment.
Essential Duties and Responsibilities
Draft, revise, and process correspondence, memoranda, and complex legal documents according to the specifications of the relevant practice area.
Organize and maintain paper and electronic files in adherence to organizational policies.
Collaborate with support departments to manage the preparation of complex documents, ensuring that all necessary attachments, exhibits, and enclosures are included.
Manage incoming mail, faxes, and other communications, ensuring they are reviewed and directed as needed. Handle outgoing mail and arrange for faxing, specialized delivery, or messenger services when necessary.
Maintain and update calendars for assigned legal professionals, tracking meetings, appointments, deadlines, and client-related activities.
Record daily time entries for attorneys and paralegals, submitting them promptly. Handle expense reimbursements, disbursement requests, and assist with client billing coordination with the accounting department when needed.
Answer phone calls, screen messages, and manage communication. Greet clients and visitors and schedule meetings, including arrangements for conference rooms and meals.
Coordinate travel logistics, including booking arrangements, preparing itineraries, and processing travel expense reports as needed.
Contribute to upholding the organization’s reputation by providing exceptional service and delivering superior outcomes for clients and matters.
Perform other duties as assigned.
Qualifications and Requirements
High school diploma required; at least two years of college preferred.
A minimum of three (3) years of experience in a similar role at a law firm is required. 4-5 years of experience or more is preferred.

Pay: $45,000.00 – $65,000.00 per year
